Scheduled Hours 37.5 Position Summary The Skandalaris Center Office Coordinator will be responsible for coordinating administrative responsibilities and providing operational assistance to Center staff.

The Skandalaris Center mission is to promote innovation and entrepreneurship across all disciplines at Washington University, through practical training available to all students and faculty, and to support viable new venture creation, including through funding.

Job Description Primary Duties & Responsibilities * Provide operational support for the office: manage supply inventory and ordering, general administrative coordinator (calendar management, maintain physical and digital files, technology troubleshooting). Act as liaison to campus and community partners.

Maintain physical space (keeping kitchen area clean/stocked, keeping track of furniture and space set up for events). Develop standard operating procedures for various center processes.

Oversee email.

Organize staff appreciation events.

Update website/calendars as needed and ensure website functionality.

Maintain CRM and other databases.

Delegate as appropriate to student workers.

* Help administer events such as workshops, competitions, and related programming.

Coordinate logistics including room scheduling, media services, catering, marketing, and vendor management.

Attend events to prevent issues and ensure smooth implementation.

Schedule group meetings by identifying feasible dates/times and sending and tracking invitations.

Send and track invitations to special events (National Council meetings, etc.). * Financial Responsibilities: Interact with the Shared Business Services Hub and enter requests in the ServiceNow ticketing system for processing financial transactions such as check requests, purchase orders, blanket orders, travel reports (U.S.

as well as international/multiple currency exchanges), Marketplace orders, change orders, IDs, journals, and other documents.

Report on financial account status.

Provide support for grant applications and reporting.

Keep an eye on all budgets to ensure compliance and prevent overdraws.

Make allocation recommendations for funds and resources.

* Track metrics and analyze demand/satisfaction/outcomes associated with Skandalaris Center initiatives actively; and assist with custom surveys.

Input data, update records, run reports, in coordination with WUSTL colleagues.

* Interact with the Shared Business Services Hub and enter requests in the ServiceNow ticketing system for WorkDay transactions needed.

* Perform other duties as assigned.

Preferred Qualifications * Bachelor's degree.

* Three to five years of experience in a complex university or business environment.

* Experience working with financial accounting systems; proficiency in spreadsheets and word processing.

* Proficient in Microsoft Office Suite Package (Word, Excel, PowerPoint, Word, Publisher, Outlook, and Access (or some other database programs). * Proven ability to handle confidential information responsibly.

* Proven ability to manage and prioritize multiple tasks and deadlines with varying degrees of pressure; ability to exercise judgment and take corrective action.

* Interest and experience in the entrepreneurship space.

* Experience with website maintenance a plus.

* Previous Wash U work experience a plus.

* Ability to be a self-starter with excellent project management, technical, communication (both written and oral), and interpersonal skills; self-motivated individual driven by challenge with the ability to work independently with a high degree of reliability, accuracy and productivity.

* Excellent interpersonal communication skills, written and verbal; a service-oriented communicator who is a true team player * Strong problem-solving skills, organizational skills, event management, attention to detail, and customer service skills.

* Comfort with utilizing new technologies as appropriate (Box, Wordpress/Formidable, WebEx, Google Forms, etc.); make recommendations for adding/changing technology use as needed.

* Ability to work well with a wide variety of stakeholders (students, post-docs, faculty, researchers, staff, alumni and community members). * Ability to work independently in an environment of multiple and conflicting priorities and projects; anticipate and resolve problems and updates supervisor on status of projects.

* Professional judgment, initiative, and confidence.

* Ability to work independently but have the ability to function as part of a team, coordinating with multiple constituencies.

Required Qualifications * High school diploma or equivalent high school certification.

* Three years of relevant experience.

Grade G08-H Salary Range $20.76 - $32.21 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University.

Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
