JOB PURPOSE

The Executive Assistant (EA) will serve as the Founding President’s right arm who helps plan, organize, and gets things done. Working at the very center of Live the Life’s programs, operations, and fund development, the EA will work to help ensure everything runs smoothly, effectively, and efficiently. The EA will protect, conserve, and maximize the CEO’s time.

JOB DESCRIPTION: Reporting directly to the President and CEO, the Executive Assistant provides executive support in a trusted one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant also serves as a liaison to Live the Life’s Board of directors, senior management, and staff; organizes and coordinates executive outreach and external relations efforts; and oversees special projects from high level to routine. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven and focused on maximizing impact for our program participants. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among competing priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

PRIMARY ROLES AND RESPONSIBILITIES

You will be responsible for:

• Executive Support. Proactively take charge of special projects and tasks for the President from high level to routine; Anticipate needs and remove things from the President’s plate to maximize his time; Follow up on contacts made by the President, find creative ways to cultivate strategic relationships, and maximize the CEO's ability to effectively lead the organization.

• Program Support. Takes a hands-on approach to act on the President’s behalf to help develop, organize, and execute Live the Life programs, military contracts, and grants.

· Fund Development. Act on the President’s behalf to help plan, organize, and execute Live the Life’s Fund Development programs and events; act as a liaison between the President and major donors and key program partners; Assist the President with his Fund development work and help organize and execute our Moves Management system (Identify, Cultivate, Ask, Steward)

• Board Support. Serve as the President's administrative liaison to Live the Life’s Board of Directors while practicing discretion and confidentiality; Work with the Board Chair and President to prepare meeting agendas and ensure timely distribution of supporting materials; Draft minutes of Quarterly Board meetings for review by the Board Chair and Founding President.

• Staff. Act as a liaison between the President and staff, and learn how to act independently on his behalf. Use creative problem solving skills to address staffing challenges that arise in multiple regions. Provide a "gatekeeper" and "gateway" role, creating win-win situations for those who need direct access to the CEO's time and office.

• Communication. Provide a bridge for smooth communication between the President and Stakeholders including Board members, program partners, donors, and Live the Life staff; Demonstrate leadership and develop credibility, trust and support with stakeholders; Take the lead to produce and distribute Live the Life’s monthly newsletter, which includes highlighting program partners and donors, writing brief articles, and selecting photos and graphics.

Maintains a genuine, growing personal relationship with Jesus Christ and is a faithful member of a local church.

Is a resourceful, tech savvy self starter with the drive to improve a non-profit organization and help ensure its success.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion.

Has 3-5 years of successful experience supporting high level Executives, preferably in a non-profit organization.

Is an organized, detail-oriented multitasker with a strong track record of success, meeting deadlines, and getting things done.

Can think independently to anticipate issues and neutralize problems before they arise.

Has High Emotional Intelligence (EQ) and maturity and the ability to develop strong relationships.

Provides a high level of excellent service and support to our donors, program partners, and program participants.

Has a Bachelor’s degree.

Demonstrates excellent written and verbal communication skills.Company Description
