A French-speaking executive and research assistant is required for a family in Scarsdale. The schedule will typically be 40 hours, Monday through Friday, with flexibility to address needs outside of these hours, as reasonably required. The principals would prefer 2-3 days per week to be worked from their residence in Scarsdale while other days can be worked remotely, depending on the principals' needs from one week to the next.

This candidate will work closely with the principals to provide full administrative support while also assisting with research tasks and projects. Responsibilities will generally include; working closely with the house manager to coordinate calendars and assist with scheduling, preparing and collecting all materials and meeting agendas, attending meetings/calls and taking minutes, conducting comprehensive research on various topics as directed by executives, utilizing both online and offline resources, compiling and analyzing data, preparing summaries and generating reports, reconciling petty cash and credit card statements on a monthly basis for staff, serving as the point of contact for the family office accounting team, establishing and maintaining an organized filing system and establishing your own filing system for individual projects and responsibilities, working closely with the house manager to set-up and maintain databases such as the family contact list and art catalog, handling special projects including liaising with architects and other professionals (specifically in France), handling shipping and receiving of deliveries, end to end travel (including research, booking, tracking, and ensuring principals have reached their destination), juggling multiple competing priorities, foreseeing potential problems and planning contingencies accordingly, taking the filing system from paper to electronic (this is a major part of the role), and performing additional tasks, as deemed appropriate.

Candidates should have previous experience working in a household, research, academic or corporate setting, as well as be comfortable with occasional travel to France. Understanding the importance of utilizing discretion and confidentiality in the workplace is key, as well as the ability to use good judgment, recognize priorities and be a self-starter. Candidates should have strong computer skills, including Microsoft Office and MAC, excellent verbal and written communication skills, and a positive and flexible attitude when responding to the changing requirements of the principals. Proficiency in both English and French is essential.
