Job Summary

Medpace is currently seeking a full-time, office-based Office Services Coordinator to join our team in Warsaw. Responsibilities

• Ensure routine and preventative maintenance activities are scheduled, completed and documented in the work order system;• Responsible for company local car fleet administration, this includes procurement, insurance, maintenance and sale where necessary; • Coordinate administrative services including mail distribution, shipping and receiving, supply inventory, and front-line office support including reception;• Organise desk and office assignments;• Provide support to Regional Facilities Manager on facility renovation/improvement/relocation projects for the Warsaw office;• Develop and maintain strong relationships with service vendors and landlords to ensure efficient maintenance and housekeeping of the office, and take corrective action steps when needed to rectify issues;• Support Regional Facilities Manager and legal department by ensuring thorough review of office related contracts and insurances;• Under supervision, responsible for coordination of all health and safety procedures for the office;• Under direction of the Human Resources function, may support local benefits administration and payroll;• Submit office expenses within allocated budget, escalating when necessary and provide reporting and information for country budget planning for facilities-related costs;• Develop understanding of appropriate Standard Operating Procedures (SOPs) and policies;• May be responsible for other projects and responsibilities as assigned.

Qualifications

• Diploma in any field;• 5 years of Facilities/Office Administration related experience - understanding of building systems and coordination of maintenance activities is preferred;• Competent with computer systems, including Microsoft Windows and Office operating systems;• Excellent verbal and written communication skills in dealing with stakeholders from diverse backgrounds.
