Secretary

The Secretary is responsible for providing comprehensive support to the CEO. This dynamic position requires the ability to anticipate needs, think critically and offer solutions to problems with high level of professionalism and confidentiality.

Main responsibilities shall include:

Providing full secretarial and administrative support that facilitate the CEO ability to effectively lead the company;

Acts as a liaison and provide support to the Management/ Board of Directors;

Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the CEO, including those of a highly confidential or critical nature;

Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately;

Manage all aspects and serve as key point of contact for company office services, building facilities management/ maintenance, office operational contracts etc;

Process and distribute daily mails – both electronic and hard copies;

Provides hospitality to all guests and help to create a welcoming environment;

Coordinate and assist in day to day general administration, facilities management and office maintenance;

Bordereau – he/she is to be involved in ensuring and/or preparation of combined bordereau from both legacy systems for Clients;

Resolve administrative related issues and rendering assistance to colleagues, where necessary;

Coordinating regular housekeeping and maintaining supplies of pantry, stationery and equipment;

Manage facilities management and office maintenance;

Assists in colleague welfare activities for enhancement of collaboration and teamwork;

Adhere to legal requirements, industry regulations and customer quality standards set by the company;

Any other ad-hoc duties as assigned

Requirements:

Min 3 years of experience in similar capacity;

Excellent communication skills, both oral and written;

Strong Organization skills;

Analytical and interpretive skills;

Proficient in MS Office applications (MS Word, Excel and Powerpoint;

Meticulous, able to work independently, efficient and with good time management skills;

Resourceful and independent;

Attention to detail;

Team Player;

A high level of flexibility and personal responsibility;

Proactive and can work under pressure;

Ability to work within a cross-functional team environment and diverse communities.
