Life Insurance Position: Medical Records Coordinator

Reports to: Director of Compliance and Quality Assurance

Job Summary: The medical records clerk is responsible for managing and maintaining patient medical records. This includes ensuring the accuracy, confidentiality, and accessibility of patient information in compliance with relevant laws and regulations. Responsibilities revolve around organizing, maintaining, and updating patient records in compliance with relevant regulations and standards, such as HIPAA. The Medical Records Clerk works closely with providers, administrative staff, and other professionals to facilitate the efficient flow of information while upholding strict confidentiality protocols.

Duties and Responsibilities:

Duties include, but are not limited to:

Manage patient records, incoming records from referrals, medication preauthorization, and any other request for records

Enter patient information into electronic health record (EHR) systems accurately and in a timely manner. Update records with any changes or additions as required.

File incoming documents into appropriate patient records, maintaining an organized filing system and required tracking of requests. Retrieve records promptly when requested by authorized personnel.

Perform regular audits of patient records to verify accuracy and completeness. Address any discrepancies or issues promptly and follow up as necessary.

Adhere to strict confidentiality guidelines and protect patients' privacy by maintaining the security of medical records.

Collaborate with providers, administrative staff, and other team members to ensure smooth workflow and timely access to patient records. Respond to inquiries and requests for information professionally and promptly.

Dispose of outdated or obsolete records in accordance with retention policies and legal requirements. Required Experience/Certifications:

Valid State of Ohio Driver's License and insurance

High School Diploma or equivalent.

2 years of relevant experience Desired Experience/Certifications:

Associate or bachelor's degree in healthcare administration or related field

Prior experience in medical records management, preferably within a behavioral health or psychiatric setting

Familiarity with electronic health record (EHR) systems and proficiency in data entry
