Hooks Meng & Clement is looking for an efficient, organized Legal Assistant to help our attorneys assist our clients and ensure we’re operating efficiently. You’ll assist with the preparation of legal documents and handle all office correspondence including answering phone calls and emails and reminding the team of upcoming deadlines. Hooks Meng & Clement counsel and defend employers, insurers, third-party administrators, and others in the areas of Workers’ Compensation, subrogation, occupational safety and health, subsequent injury, and related matters. $50,000 yearlyResponsibilities:
Ensure client billing is processed properly using daily time records with assistance from the accounting department
Work with attorneys and paralegals to create various legal documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents when requested
Be willing to take on any other necessary administrative tasks to help the firm run smoothly
Take care of administrative tasks and office correspondence by answering phone calls and emails, communicating with opposing attorney offices, taking dictation, and informing the team of upcoming deadlines
Arrange travel, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events
Conduct legal research, when necessary, with guidance from attorneys and paralegals
Ensure client billing is processed properly using daily time records with assistance from the accounting department

Make travel arrangements, schedule meetings and appointments for the team, such as depositions, and coordinate with outside vendors for events
Accept other administrative tasks as needed to assist the team and ensure the firm runs smoothly
Responsible for supporting attorneys by performing a variety of administrative duties
Strong communication skills are required for frequent interaction with court personnel, opposing counsel, and clients
The candidate must be detail-oriented
Have strong organizational skills
Able to work as part of a team
Able to prioritize work effectively
Qualifications:
Applicants must have excellent communication skills and organizational skills
Ability to comfortably use all Microsoft Office products
Must be able to type at least 50 WPM
1-2 years of prior experience in a law firm environment as a secretary or administrative assistant
Must be able to prioritize tasks with demanding deadlines and work in a fast-paced environment
Experience in the legal industry is highly desired
An Associate’s degree or some college is preferred; a high school diploma or equivalent is necessary
Candidates must have worked with legal software, case management, and docketing programs
Organizational skills and communication skills are necessary for this position
Familiarity with legal documents and terminology
Strong customer service, personal, and communication skills
We expect you to be proficient in the use of standard office software including email and Microsoft Office (Excel, Word, and PowerPoint)
As we are largely paperless, you will need to understand how to work in a digital environment with PDFs and other digital file formats
Able to effectively prioritize and meet deadlines
Courteous and professional demeanor
Able to work as a team with attorneys
A valid driver's license is required
