Responsibilities

Noblis is seeking to hire a Executive Assistant in Reston, VA

This important and highly visible role works in collaboration with, and in support of, three Noblis Vice Presidents who are leading complex initiatives across these divisions and teams.

This purpose of this role will be to partner closely with three Noblis VPs, Chief Financial and Administrative Officer, Chief Growth Officer and Vice President of Business Development to ensure effective operations, introduce organization to processes and presentations where needed, ensure follow-through on corporate action items, and help provide effective communication within and across the Shared Services Areas and promote a collaborative atmosphere.

The Executive Assistant will provide extensive administrative, operational assistance to the CFAO, Chief Growth Office, and Business Development Vice President. This will include the following responsibilities:

Partner with the Vice Presidents, anticipate needs, and take initiative to organize and execute detailed logistics and solutions.

Partner with Vice Presidents in providing effective collaboration and communication with both internal and external stakeholders.

Collaborate with the Executive Assistants' Team and provide back-up when needed under the guidance of the Senior Executive Assistant.

Manage and organize projects and/or events, to include planning/orchestrating in person meetings at local and nationwide Noblis offices. In some cases, this involves logistical management of ordering, set-up, and disassembly of food and catering, conference rooms, and other supporting equipment.

Manage Vice President’s internal and external meeting schedules and calendar using Outlook.

Collaborate with other internal and external organizations, including senior leadership, on execution of action items.

Coordinate Vice President’s business travel and file expense reports.

Partner with Vice Presidents to perform the following as required to accelerate business office operations:

Maintain SharePoint filing systems and document version control.

Conduct data calls across business units and corollate information.

Perform internet research, analysis, and summarize information.

Document creation, edit, desk top publishing, and simple graphic/visuals (MS Word, Excel, and PowerPoint).

Draft and finalize meeting minutes and action items.

Responsible for developing and applying advanced skills in areas of specialization with limited direction. Responsibilities and tasks are varied and require consistent sound judgment and initiative in solving complex problems from multidisciplinary perspectives. Anticipate problems/circumstances from multiple perspectives and effectively maneuver through obstacles. Make recommendations and, upon approval, implement process improvements. Act independently to plan and accomplish assigned work and know how to contribute to corporate success. proactively provide mentorship and support to others and serve as a cross organization resource. With a service excellence mindset, anticipate client’s needs and have well established relationships with your manager, all levels of leadership, the organization you support and internal/external business contacts. Consistently and proactively follow and guide others on Noblis’ policies and procedures. Participate in defining the policies and procedures as they change over time. Ensure that all work products follow Noblis’ policies and procedures, and operate at a level of quality that positively affects the Noblis brand.

Required Qualifications

Minimum of 8+ years of experience providing administrative, operational, and/or logistical support.

Ability to work a hybrid schedule, to include remote and our Reston, VA headquarters office.

Experience as an Executive Assistant, including experience supporting C-Level executives.

Demonstrated ability to coordinate complex logistics in support of meetings across multiple locations.

A poised, polished and professional communication style. Candidate must have excellent oral and written communication skills.

Excellent judgment and organizational skills are a must.

Extensive writing, editing and communications background.

Ability to work independently, cooperatively, and collaboratively with various levels of administrators and staff.

Proven experience with project organization and event management.

Must be a resourceful and flexible problem solver.

Ability to work extended hours on occasion supporting special events. He or she will possess outstanding interpersonal and customer service skills.

Proficiency in MS Windows 365 and MS Office--Word, PowerPoint, Excel, Outlook, SharePoint and Teams.

The ability to multi-task, contributing to multiple projects with strong attention to detail.

Ideal candidate may be able to work with the VPs in other Noblis DC area office locations on occasion as well.

Experience in the use of Adobe Acrobat Professional and Microsoft SharePoint

Salary at Noblis is determined by various factors, including but not limited to, the combination of education, certifications, knowledge, skills, competencies, and experience, internal and external equity, location, and clearance level, as well as contract-specific affordability and organizational requirements and applicable employment laws. The projected compensation range for this position is provided within the posting and are based on full time status. Part time staff receive a prorated salary based on regularly scheduled hours. The estimated minimum and maximum displayed represents the broadest range for this position (inclusive of high geographic and high clearance requirements), and is just one component of Noblis’ total compensation package for employees.

USD $32.60 - USD $57.07 /Hr.
