The Gleneden Housing Authority is currently hiring for the position of Administrative Assistant. The job role and responsibilities of this position, as well as the required skills and qualifications, are outlined below:

Job Role & Responsibilities:

Work Hours:

9:30 am - 4:00 pm, Monday through Friday.

Part-time position, 6 hours a day, with one 30-minute lunch break.

No benefits are offered for this part-time position.

Salary Range:

$22-26 per hour, depending on education and experience.

Responsibilities:

Administrative Support: Provide administrative support to ensure the efficient operation of the office.

Communication: Answer phone calls, schedule appointments, receive visitors to the office, and assist office staff with various tasks.

Documentation: Carry out administrative duties, including filing, typing, copying, binding, scanning, etc.

Project Management: Complete operational requirements by scheduling and assigning administrative projects and expediting work results.

Travel Arrangements: Make travel arrangements for senior staff, such as booking flights, cars, and hotel or restaurant reservations.

Applicant and Resident Interviews: Interview applicants and residents, verify income, and deductions.

Work Orders: Open and close work orders.

Communication: Exhibit polite and professional communication via phone, email, and mail.

Organization: Support the team by performing tasks related to organization and maintaining strong communication.

Staff Development: Develop administrative staff by providing information, educational opportunities, and experiential growth opportunities.

Equipment Maintenance: Ensure the operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.

Information Handling: Provide information by answering questions and requests.

Supply Management: Maintain supplies inventory by checking stock, anticipating needed supplies, placing and expediting orders for supplies.

Newsletter Creation: Create and distribute the Monthly GHA Community Newsletter.

Team Contribution: Contribute to team efforts by accomplishing related results as needed.

Skills and Qualifications:

Reporting Skills: Ability to generate reports and maintain records.

Administrative Writing Skills: Strong written communication skills for various administrative tasks.

Microsoft Office Skills: Proficiency in Microsoft Word, Excel, and Outlook. Knowledge of Microsoft PowerPoint and Adobe Acrobat is also required.

Managing Processes: Effective in managing administrative processes and tasks.

Organization: Strong organizational skills to handle office operations efficiently.

Analyzing Information: Ability to analyze and interpret data and information.

Professionalism: Maintain a high level of professionalism in all interactions.

Problem Solving: Ability to identify and solve problems.

Supply Management: Experience in managing office supplies and inventory control.

Verbal Communication: Strong verbal communication skills for phone and in-person interactions.

Good Customer Service Skills: Provide excellent customer service to applicants and residents.

Education and Experience Requirements:

High school diploma or equivalent education certification required.

3 years of administrative assistant experience.

Knowledge of appropriate software, including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat.

Valid driver’s license and current automobile insurance.
