Position SummaryServes as primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues. Coordinates the provision of office and staff support services to the office, and oversees and/or participates in the coordination, supervision, and completion of special projects such as the Virtual Writing Center and Online Tutoring, and/or events.

Duties & Responsibilities

Provides confidential clerical and administrative support for the principal executive or executives, including screening and handling telephone/email communications, and dealing with administrative problems and inquiries as appropriate.

Greets and directs visitors (virtually), routes phone calls and emails and coordinates tutoring sessions, along with answering student questions.

Serves as a primary point of direct administrative contact and liaison with students, other offices, individuals, and external institutions and agencies on a range of specified issues.

Gathers, enters, and/or updates data to maintain departmental records and databases, as appropriate; establishes and maintains files and records for the office.

May compose and prepare written documentation and correspondence with students or within the office; screens and evaluates incoming and outgoing correspondence and prepares responses as appropriate.

May supervise personnel which may include recommendations for hiring, performance evaluation, training, work allocation, and problem resolution.

Learns the abilities and limitations of various tutors to appropriately pair a student with a tutor.

May promote the tutoring center's services by doing classroom visits and facility tours.

May provide backup coverage for the Virtual Writing Center

Subject to the requirements of the Health Insurance Portability and Accountability Act of 1996 and Central New Mexico Community College’s HIPAA Privacy and Security policies and procedures, assisting the CNM health plan with day-to-day activities involving protected health information, including but not limited to, assisting with employee claims, coordinating benefits, determining health claim status, determining eligibility for coverage, budgeting and renewal, billing and collection activities, obtaining assistance from third-parties for plan functions, and any other duties delegated by the HIPAA Privacy or Security Officer.

Additional Preferences:

Customer service skills

Experience with hosting meetings/webinars in Zoom

Administrative, clerical, etc. Telephone/email communication skills

Multi-tasking, highly organized/focused

Familiarity with Zoom, scheduling software

BCIS 1110 equivalent or higher in school transcripts

Tutoring experience

Experience in educational environments

Comfortable working remotely or in-person

Comfortable/able to work on a computer for hours at a time, uninterrupted

Someone who is motivated to expand and improve online tutoring at CNM

Punctual and reliable.

Technical writing

Computer troubleshooting

Minimum Qualifications:

Associate degree and three (3) years of experience that is related to the duties and responsibilities specified.

OR

HS Equivalency and five (5) years of experience related to the duties and responsibilities specified.
