Position Title: Administrative Assistant
Reports To: Vice President, Human Resources
Responsibilities:
Provides administrative support to ensure efficient operation of office.
Answer phone calls and coordinates internal and external meetings and visits.
Carries out administrative duties such as preparing documents, copying, binding, check requests, scanning sorts and scans mail to appropriate personnel, etc.
Supports electronic court filings as requested.
Coordinate and draft administrative procedure as needed.
Responsible for scheduling meetings and management of calendars.
Makes travel arrangements for staff such as booking flights, cars, and hotel or restaurant reservations and processing expense reports.
Ensures operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
Maintains vendor relationships for office efficiency.
Maintains up-to-date information on firm databases as requested.
Maintains daily 411, Mail Log, Paylocity LMS, RI Case Research.
Maintains delivery vendor administration, USPS, UPS, and FedEx.
HR Support
Assist HR with the process of recruitment, including vetting candidates, assisting with interviews
Coordinating logistics for new hire orientation
Assist HR with coordinating events and meetings and employee communications
Additional responsibilities as requested.Requirements:
Education and Experience Requirements
High school diploma or equivalent education required
1-3 years of administrative assistant experience
Proficient with Microsoft Outlook, Word, Excel, PowerPoint, and Adobe Acrobat
Strong written and communication skills exhibiting polite and professional communication via phone, e-mail, etc.
Strong organizational skills
Ability to work in a high-paced environment
Initiative to conduct work independently
