Job Description:

We are looking for a versatile and highly-organized personal secretary to perform personalized administrative duties for Group Chairman. In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of group Chairman. You may also be required to make travel arrangements and assist with other duties when required.

Job Responsibilities:

The candidate should be multi-tasking and fluent in English and communication skills. He/she must be versatile and be able to handle the work pressure in different working conditions.

• Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.

• Attend meetings and keep minutes

• Receive and screen phone calls and redirect them when appropriate

• Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)

• Make travel arrangements for executives

• Handle confidential documents ensuring they remain secure

• To hold a valid passport and be willing and able to travel extensively

and at short notice

• To provide administrative services including diary management,

booking meetings, planning events, organizing travel and preparing

travel itineraries, Hotel booking, Flight booking, correspondence and prioritizing emails for the

Chairman.

• You shall not share confidential matters with other employees or

with any outsider of the company.

• To conduct research/ analysis as directed by the Chairman.

• Liaising with senior officers of Govt of India.

• Managing internal and external correspondence on behalf of senior management.

• Scheduling appointments, maintaining an events

calendar, and sending reminders.

• Observing best business practices and etiquette

• Produce reports, presentations and briefs.

Executive Secretary Requirements:

• Degree in business administration (desirable).

• Certificate in business administration or related (essential).

• Minimum 2 years of experience in an executive support role.

• Methodical thinker with detailed research proficiencies.

• Thorough understanding of clerical and secretarial principles.

• Strong knowledge of databases and tracking systems.

• Fantastic organizational skills and detail-oriented.

• Ability to work under pressure and meet deadlines.

• Brilliant written and verbal communication skills.

• Proficient in Microsoft Office.
