Position : Executive Assistant

Main Responsibilities:
Email Management
Manage the Founder's email inbox
Triage incoming emails
Unsubscribe from and delete unnecessary newsletters and emails
Draft replies to routine emails (seek guidance when unsure)
Highlight emails requiring a personal response from the Founder
Create a standard operating procedure document for managing the Founder's emails (first-time use of an executive assistant for this task)
Diary Management
Book routine business and personal appointments (e.g., gym, haircuts) in the Founder's diary
Provide daily reminders to the Founder about upcoming appointments
Social Media Management
Convert existing articles (approx. 1,000 words) into Twitter threads and 200-300 word emails
Schedule daily Twitter threads using Typefully.com
Liaise with YouTube editor and upload video content to YouTube
Writing Theatre Reviews
Prepare first drafts of theatre reviews by using ChatGPT to summarize existing reviews of a show
Assist the Founder in refining and personalizing the reviews
Upload reviews to secretstagereviews.co.uk
Creating Standard Operating Procedures (SOPs)
Convert screen recording videos of the Founder and the team performing tasks into SOPs with screenshots/images in a Word document
Routine Database Administration
Assist in managing our subscriber database
Qualifications:
At least 2 years of experience as an Executive Virtual Assistant
Proficient with IT, particularly the Mac ecosystem. Must use a Mac, not a PC.
Unflappable and unfailingly polite, even when dealing with difficult people.
Outstanding use of the English language and an eye for detail in written communications.
Willing to work with little daily supervision or face-to-face contact (communication is mainly via Slack).
Desirable (We Can Train You):
Familiarity with MailChimp, ChatGPT, Slack, Dropbox, and Zoom (frequently used tools).
Basic understanding of WordPress, or the IT skills and intelligence to learn it quickly.
Amazing if You Have It (But Not a Requirement):
Knowledge of human resource management.
