Title:Document Management Specialist
KBR is providing Project Management Services encompassing Engineering, Procurement, Construction, and Commissioning phase execution supporting KBR’s client Sonangol’s multi-billion-dollar grass roots Lobito Refinery Project in Angola Africa.
KBR is looking for a Document Management Specialist to plan, budget, direct supervise, and coordinate document management functions, personnel, and systems for the Sonangol Project. This role will manage the delivery of functional objectives by providing leadership and direction to managers and professional staff.
***This position will mobilize to Angola***
Responsibilities:
Develop and assist in document management technical audit capability
Recruitment of document management personnel for assignment to projects and core roles
Conduct and assist in conducting PPR activities
Review DM, IM, IPS working model in core and project environments
Ensure work meets required HSE and QA standards
Responsible for measurable assets such as budgets, equipment, and staffing
Accountable for ensuring compliance with Code of Business Conduct, company Internal Controls Policies and Business Practice
Accountable for ensuring development of implementation and compliance with Project Policies and Processes
Accountable for assisting in the creation and implementation of Company Document Management Policies and procedures ensuring compliance
Accountable for the success of the Document Management activities and deliverables in accordance with the agreed schedules, milestone, and cost, focused on aiding project goals and objectives
Assists in the establishment, maintenance and improvement of Document Management processes, systems, and tools to aid efficiency and effectiveness
Communicate/liaison with Project Management and team, Client, and Sub-contractors effectively and resolve problems relating to documentation, information, and data
Ensures consistent and common appropriate functional training and development programs for all resources in support of Project operational needs
Communicates regularly with Company Document Management employees by use of briefing sessions to share knowledge, best practices and lessons learned
Ensures the correct establishment, utilization, maintenance and usage of Document Management work processes and computer software applications, IPMS (in-house system), Documentum, Web Transmittal Tool, and Web Distribution Database etc.
Management and operational prioritization of the document management team
Understand limitations of the systems and adopt necessary changes to work practices and work with the database administrators to improve the service
Qualifications:
Bachelor’s degree or equivalent in oil & gas industry experience
7 + years of experience in the oil & gas industry in a document management role or related role
In lieu of formal education 15 + years of experience in a document management role or related role
Knowledge of EDMS systems & Electronic Document Imaging Technology (Documentum- advantage) and computer technology
Highly proficient with Information Management systems and Philosophies an advantage
Competence to develop procedures and work processes
Strong understanding of oil industry documentation
Awareness of Regulatory Authorities requirements
Knowledge and understanding of current document controls standards
Proven ability to accept responsibility and accountability, identify and facilitate effective resolution of problems, and make optimal us of available resources
