Function / Position Summary
Organize and maintain safe school operations through office assistance, communications and directed procedures. Provide office support to instructional and administrative personnel to ensure organized and efficient operations within the school. Process requests for photocopying of classroom material with accuracy and timely delivery. Uphold School District U-46 ICARE Standards. Maintain confidentiality of student/staff information in the school and community.
Job Duties / Responsibilities
Answer the main phone line and take messages or transfer calls to the appropriate extension.
Maintain office/building supply inventory to ensure proper on-hand stock.
Process materials (photocopies, scanning, collation, lamination, etc.) within requested time lines or as assigned.
Assist with attendance.
File information and confidential material in student files.
Receive, sort, and distribute incoming mail, documents, and correspondence.
Register new students.
Accurately enter computer data.
May coordinate the workflow of inquiries and incoming work order requests.
Assist with confidential student cumulative files as requested.
Assist with sick or injured children as requested.
Input School Dudes, maintain school shared calendar and/or maintain building usage calendar if designated by the principal
Other duties as assigned. Education
High School diploma or equivalent required. Experience / Knowledge
Previous office, clerical or support staff experience in a school setting preferred.
Bilingual - Spanish/English - written/verbal preferred. Physical Demands
Ability to work on a computer/telephone over the major portion of the day.
Ability to lift up to 25 pounds. SECRETARIAL CLASSIFICATION CRITERIA

Perform reception duties
Perform student attendance duties
Utilize excellent written and verbal communication skills (parents, staff and students)
Responsible for tracking and balancing building/department expenditures (if applicable)
Working knowledge of computer program Word and Excel
Willingness to learn and become proficient in advanced applications and specialized computer programs (Mail Merge, Student Information Systems, Business Portal, etc.)
Terms of Employment
This is a 10 month position.
Salary and benefits as established by the Board of Education and set forth in the collective bargaining agreement as applicable. Additional Information:
4 hours per day
211 days per year
