JOB SUMMARY: This role will provide top line support throughout the media scheduling process to ensure accurate inputs and real time data to support the sales process. In this position, you will provide scheduling and administrative support to the Sales and Operations Departments. You will ensure effective and efficient workflow between the Sales function and Operations field activities, relating to installation and compliance with client contractual agreements.

This position oversees the management of our saleable static billboard inventory in efforts to supply clients with inventory that delivers to their audience. Depending on location, may be responsible for overseeing the scheduling and input of the static and/or digital out-of-home inventory for the market or multiple office locations.

ESSENTIAL FUNCTIONS OF POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

Schedules client advertising against current inventory ensuring they are correctly placed without conflicts based on what the contractual agreement states.

Data entry of AOA client contract agreements, posting instructions and Ad Manager maintenance.

Demonstrates clear understanding of all advertising, inventory and audiences.

Collaborates with Account Executives and Sales Support teams to chart proposals and contracts for all advertising inventory.

Act as a Liaison between Sales and Operation Departments to confirm copy, posting instructions (PIs), and work orders, maintaining an open line of communication with Operations from start to finish and discusses any issues to remedy conflicts.

Provide outstanding support to management and sales staff to provide up to date information with available advertising space.

Effectively problem solve to address issues affecting local advertising inventory, with the Inventory Management Specialist.

Proactively updates management on posting information and Posting & Delivery (P&D) issues.

Maintain weekly, monthly and quarterly P&D reports to clear all media to be invoiced.

Acts with diplomacy internally and externally as a representative of AOA Sales Department.

Assists with development of proposals when needed, including ordering Public Service Announcements.

Performs other related duties required or projects assigned by management.

Substitutes for any scheduling personnel who are absent or on vacation.

May accompany AEs and clients on market rides, with RBM approval.

Maintain inventory of public service vinyls to manage removal of expired copy and facilitate timely rotation of active copy.

PREFERRED QUALIFICATIONS:

Associate's Degree preferred or related experience.

Self-motivated with at least 1-2 years of professional work experience.

Possess strong organizational skills, attention to detail and the ability to prioritize to meet assignment deadlines.

Proficiency with Microsoft PowerPoint, Word and Excel.

Strong Analytical skills.

Ability to handle the tasks associated with a fast-paced advertising environment.
