FULL JOB DESCRIPTION
Assurance Support Services is seeking a reliable individual to undertake the administrative tasks. The Administrative Assistant will serve as the face of the company while answering all incoming calls and greeting walk-in guests. This position requires proficiency in prioritizing and working with little supervision. The ideal candidate is self-motivated and will work with a high degree of attention to detail.
RESPONSIBILITIES
Manage phone calls and email correspondence
Answer questions from members, social workers, and staff enthusiastically and professionally
Provide administrative support to clerical staff as needed
Track inventory of office supplies and place orders when necessary
Organize and schedule meetings for Transition Coordinators
Coordinate travel arrangements
Take minutes at office meetings
Provide biweekly and monthly reports
Establish and maintain effective work relationships with new and existing members
Welcome clients and guests who call or visit the office with polish and professionalism
Ensure the reception area looks fantastic, plan and set up for events and conference rooms, etc.
Fulfill requests with a flexible and resourceful mindset
Receive and file time sheets
Send reminders for timesheets and meetings
Update members on their status in the transition process
Coordinate the housing process for all members in the pipeline
Enter notes into the Benefits Utilization Systems (BUS)
Record and track billable units to provide the billing department
Provide accurate reports on a biweekly and monthly time frame
Enthusiastically manage multiple competing priorities at one time in a fast-paced environment and a wide variety of personalities
Handle a wide variety of tasks with excellent organization, planning, and follow up skills
Utilize strong computer proficiency and administrative skills to support other departments as time allows
EXPERIENCE REQUIREMENTS
Administrative experience 1 year (Preferred)
Customer service 2 years (Preferred)
Proficient knowledge of MS Office and Excel
ABILITY TO COMMUTE/RELOCATE:
Aurora, CO 80014: Reliably commute or planning to relocate before starting work (Required)

Knowledge of office management systems and procedures
Strong organizational skills with the ability to multi-task
Excellent written and verbal communication skills

8-hour shift
Monday – Friday
