Position Details

The Office of Student Conduct at The University of Tampa has a position available for a staff assistant II. This position is a 12-month, full-time position that reports to the assistant dean of students/director of student conduct. The staff assistant II will ensure that administrative functions within the Office of Student Conduct are systematically maintained and efficient to provide an environment that is conducive to the implementation of strategic initiatives within the Office of Student Conduct. As a member of the Office of Student Affairs, the staff assistant II will uphold the values of diversity and inclusion, collaboration, personal responsibility, professionalism and community and citizenship. The work of the staff assistant II will intentionally align with strategic priorities to advance the mission and vision of student affairs, which results in student learning, and support for students to grow as global citizens.

This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or other conditions.

Responsibilities

1. Assist the assistant dean of students/director of student conduct with clerical and administrative tasks related to the administration of the Student Conduct process.

2. Supervise student office assistants to maintain appropriate office coverage.

3. Learn and utilize student conduct database Advocate by Symplicity to assist in scheduling meetings, managing educational sanctions, and preparing reports.

4. Complete the Disciplinary Clearance forms and manage the interdepartmental Disciplinary Clearance form procedure.

5. Organize Suspension Clearance Petition documents for review by the Suspension Clearance Committee.

6. Assist the administrative assistant for the Office of Student Affairs with the student readmission process.

7. Maintain administrative processes related to the CHOICES program.

8. Track the completion of all educational sanctions and manage student conduct holds within Workday and Advocate.

9. Assist with the administrative tasks associated with student conduct hearing boards.

10. Manage the office e-mail account and walk in traffic of students, families, and other University stakeholders.

11. Serve as a content editor for the Office of Student Conduct webpage to ensure accurate information is communicated.

12. Maintain inventory and purchase office supplies for the Office of Student Conduct.

13. Develop a working knowledge of the university's database and software applications.

14. Attend trainings and fully engage in learning and utilizing university-wide technology, specifically Workday, and other department specific technology platforms.

15. Other duties as assigned by the assistant dean of students/ director of student conduct which may include proofreading and organizing reports.

16. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.

Qualifications

1. High school diploma or equivalent, bachelors degree preferred.

2. The ideal candidate will possess the ability to work on several different projects simultaneously, excellent people skills and organizational ability.

3. Proficiency with computers is required (Word, Excel, and PowerPoint).

4. Experience with Advocate by Symplicity strongly preferred.

5. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday.

6. Willingness to embrace new technologies and innovative organizational practices

Work Schedule

Monday-Friday, 8:30 a.m. to 5:00 p.m.

Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.

Occasional evenings and weekends may be required.
