Document Control and Training Specialist

Our client, a major manufacturer of Chemicals and Fertilizer is seeking their Document Control and Training Specialist to join their team in Pasadena, Texas.

General Responsibilities:

System Administrator of plant electronic documentation and data management systems. SharePoint administration and maintenance of all training hard copy files and records. Primary responsibility for assuring that controlled documents are kept current.

This includes creating new procedures and making changes or revisions to existing procedures

and routing documents for thorough review, approval, and final authorization in SharePoint.

Document Control:

Specific Duties:

Administrator Manage Documentation and Data Management Systems.

Set up and maintain SharePoint dashboards user roles, rights, securities, interdepartmental visibilities as well as folder structures.

Make continuous improvements to the SharePoint system as needs arise.

Administrate and maintain electronic workflows to include but not limited to Department Dashboards, file management and storage, Document Change Notices and approval, Incident Investigations, Action Items, Management of Change,(MOC,) Enterprise Data Management System (EDCN) and Training Management.

Create, review and revise plant document control policies and procedures.

Primary originator of electronic document change notices (DCN’s).

Create, format, review and revise plant documentation for issue into document control including documents submitted by subject matter experts.

Maintain hard copy training records.

Administrate and communicate action item tracking and reporting, records and reports for DCNs leading.

Enter Training data entry into SharePoint maintain training records.

LMS administration.

Serve as the PSM Program Document Control Specialist for all PSM Elements. Maintain the Process Safety Management ( PSM) Manual.

Support each PSM Element Leader with their area of responsibility, specifically, Operating Procedures, MOC’s, PHA’s, PSSR’s, Operator Qualification Training, and Incident Investigations.

Serve as the PSM System of Record owner and track compliance metrics for the PSM Team and drive a goal of zero overdue procedures for all elements.

Manage the flow of documents in a timely manner to meet OSHA PSM/RMP compliance standards.

Administrative assistance with plant training events and training communications.

Other duties as assigned.

Adhere to and ensure compliance of all Company policies, rules, procedures and housekeeping standards.

Qualification Requirements:

Knowledge of MS 360 software, administrative level skills SharePoint.

Experience setting up document control departments and systems.

Knowledge or experience with documentation and records compliance within a regulated industry.

Strong written, oral and interpersonal communication skills.

10 years’ experience construction or facility document control systems.

Train personnel on the use of the SharePoint and regulated documentation control and processes.

Enter Training data entry into SharePoint maintain training records.

Compensation: 80k-85k plus Bonus and all Benefits.
