POSITION SUMMARY

The Executive Administrative Assistant is responsible for providing administrative services and support to the Chief Global Impact & Strategy Officer. This individual will be responsible for administrative functions, including scheduling and calendar management, project support, travel and meeting arrangements, and budget tracking and contracting and assist team with systems processes. S/he will work to ensure the effectiveness of the Chief Global Impact & Strategy Officer, his team and function, ensuring excellent interactions with other departments and leaders throughout the company.

ESSENTIAL FUNCTIONS

The responsibilities of this job include, but are not limited to, the following:

Calendar management, meeting arrangements, travel arrangements and support with managing and navigating complexities of being an expat.

Assist with coordinating schedules, communication, and activities across the US and UK, and help manage errands, logistics, and travel arrangements ( including relevant paperwork) to ensure a harmonious experience.

Budget tracking and management, invoice processing and contract management, including administration of contract management system (iCertis); research billing and expense discrepancies.

Support and management of POs (Purchase Orders), invoicing for third party vendors (SAP), including engaging with vendors as needed to ensure timely and accurate invoicing.

Assisting the team on above mentioned 2 areas and organize complex larger meetings on-site and offsite (approx. 30% of the role)

Support the development of documents including presentations in PowerPoint, Word and other written documentation/communication; ensure quality control/proofreading/editing.

Contribute to the team by supporting and partnering with other administrative assistant within department as needed for success of team.

MINIMUM QUALIFICATIONS

Education: Bachelor’s Degree or equivalent combination of education and

2-5 years of experience in professional administrative role.

Computer Skills: MS Office suite, Service Now, email, Sharepoint

SAP, iCertis and Visio preferred
