At Ingerman, the Office Coordinator provides support for a variety of clerical and administrative tasks including answering incoming calls and emails, managing the receptionist area, and sorting and distributing mail.

Requirements

Key Job Responsibilities Include But Are Not Limited To:

Provides administrative support to ensure effective and efficient operations of the office

Screens emails and phone calls, redirects calls, takes messages

Screens visitors and directs inquiries to appropriate staff members

Schedules appointments, meetings, and reservations using Outlook

Responds to email inquiries from team members, vendors, residents, etc.

Maintains and updates company lists and rosters

Maintains documents according to protocol; including scanning, naming conventions, location, and distribution

Receives incoming deliveries; sorts, scans, and distributes incoming mail

Orders office supplies and maintains accurate inventory

Ensures that the office is in good order; contacts maintenance as needed and addresses any emergencies

Knowledge, Skills, and Abilities

High school diploma or GED required

Some college coursework preferred

Minimum of 3 years of clerical, secretarial, or office experience

Excellent interpersonal skills

Excellent written and verbal communication skills

High degree of attention to detail and prioritization

Highly organized and self-motivated

Proficient in Microsoft Office

Ability to work autonomously in a fast-paced, action-oriented environment

Ability to avoid distractions and remain on task
