Role: Senior Payroll & Compliance Executive

Work Location: New Delhi (Onsite)

Job Description:

RESPONSIBILITIES:

● Payroll processing - working with Finance and payroll vendor to process the payroll timely, check and review payroll reports / time sheet, make journal entries for the monthly payroll. Ensure payroll withholding tax including stock (ESPP & RSU) is processed/reported and paid timely.Final payment to terminated/resigned employees is processed and made timely according to local requirement

● Payroll reporting - submit payroll reports on ESPP and eIP report timely to corporate

● PTO (leave) processing – working with payroll vendor to review and upload PTO files to the system

● Month end closing - ensure booking are closed properly and timely, and proper reconciliation of payroll accounts

● Remittance of LWF and Professional Tax and Submission of Monthly/Annual Returns to Department

● Provident Fund End to End processing – Allotting UAN, Seeding Aadhar, Preparing ECR, Filing IW1, Remittance of PF, Assist employees for PF Transfer and Withdrawals

● Tax – working with payroll vendor to ensure payroll and employee related tax, annual tax filing are done timely. Should generate Form-16 and embed digital signature

● Should manage NPS PRAN linking and fund transfer to PoP

● Audit - supporting the annual statutory audit by preparing schedule and local support.

● Controls and Procedure - ensuring proper systems and controls are in place, assist the APAC Controller to set up the process, procedures and policy etc

● Compliance - ensure conformity with all policies and procedures, internal controls and also applicable SOX 404 requirements

● Any ad hoc report or project as requested

● Maintaining all policies and procedures to be in compliance with local laws

● Onboard new employees and process terminations/resignations on payroll system for approvals

● Act as local statutory officer for payroll and labor laws

● Complete monthly payroll

● Submit payroll funding requirement to Treasury on timely manner

● Maintains accurate payroll files

● Prepare required payroll reports for G&A Accountants to complete payroll entries

● Prepare all other payroll reports as requested

● Assist in completion of required payroll related government reporting and audit request

● Assist in the completion of payroll budgets

● Assist HR and Accounting as required

JOB DUTIES

Payroll Management:

Oversee the payroll process, ensuring accurate and timely payment of salaries and benefits.

Manage payroll-related queries and resolve issues promptly.

Compliance:

Ensure adherence to relevant laws, regulations, and industry standards (e.g., tax laws, labor laws, and employment regulations).

Stay up-to-date with changes in legislation and implement necessary updates.

Taxation:

Manage tax compliance, including income tax, EPF, ESI, LWF, and other statutory deductions.

Ensure accurate and timely filing of tax returns.

Reporting and Analysis:

Prepare and submit reports to management on payroll and compliance matters.

Analyze data to identify trends and areas for improvement.

Audits and Inspections:

Coordinate with internal and external auditors during audits and inspections.

Ensure prompt resolution of any findings or recommendations.

Cross-Functional Payroll Collaboration :

Foster ongoing dialogue and strong relationships with essential partners such as the Hiring, Compensation & Benefits, HR, and Accounting teams to assess the implications across various functions and strategically align payroll operations.

Payroll Communication Strategy:

Formulate and execute strategic communication plans to keep employees updated on payroll processes and compliance requirements.

QUALIFICATIONS:

● Bachelor’s degree in Accounting, B. Com / CA qualification

● 3-5 years’ experience in managing Compliance/Payroll functions for minimum 100 employee’s organization

● Experience working with a multinational organization preferred

● Extensive knowledge of local labor and tax laws related to payroll

● Reporting experience of PF, EPF, Family Pension Scheme, EDLI and Income Tax

● Experience with ADP payroll

● Excellent communication - both written and verbally in English and local languages

● Attention to details

● Problem solving and good analytical skills

● Must be flexible to manage work schedule in different time zones

● Advanced level Excel skills preferred
