Reports to the Management Systems Coordinator/ Analyst, is responsible for the upkeep and access control of the company’s documented information system (DIS). These administrative functions include, registry, updating, and approval of all types of documented information media (printed, electronic and database) with the Process Managers and Documented Information Custodians.

Checks and oversees effective DIS functionality with all departmental Documented Information Custodians to ensure retention/ archiving, and disposition of the company’s DIS in adherence to the business operations and business process standards.

Qualifications:

Ø Female/ Male, (22 to 35) willing to travel

Ø A fresh College Graduate, or an internal applicant is a priority.

Ø At least 3 to 6 months of experience handling reports, documentation and technical writing

Ø Good command of the English language in both verbal and written mediums

Ø Tech Savvy in both Google Workspace and MS Office tools particularly Visio, Word, and Excel.

Ø Assertive, detail oriented, trainable and has high level of work integrity.

Tasks List:

1. Custodian of the Internal Documents Master list, Document Issuance Directory, Document Change Register,

Document Change Request Form, and Master copy of Documented Information System or also known as

the Company’s “Blue Book” / Process Manuals.

2. Responsible for proper requisition, identification, issuance, safekeeping, filing and updating of all

documented information system (DIS) version in electronic, online (website), databse and printed media.

3. Ensures that all Copy Holders have acknowledged and received approved new/ revised issues of DIS by signing the Document Change Register, email thread and File Transfer Protocol (FTP) and Data Base

Systems (DBS).

4. Participates in ensuring awareness on DIS/ data control and information security by the authorized

members of the organization, reviewing adequacy and effectiveness of the DIS at points of use, and

documenting changes in the DIS/ registry of new DIS.

5. Trains Documented Information Custodians of each department on the usage of new/amended DIS,

including authorized access of both electronic and printed formats.

6. Drafts changes or new set of information for inclusion to the DIS with Process Managers.

7. Systematize document storage, circulation and retention to make them available to authorized

levels in the organization on a weekly and monthly basis. Ensures that all superseded and obsolete

documents/records retained for legal and/or reference purposes are suitably identified, filed or archived.

8. Takes minutes of management review meetings and follows through action points from the

management team/ working teams and Documented Information Custodians.

9. Attend to external events and development activities to capture processes and new practices.

10. Perform other tasks as assigned by the immediate superior and by the Business Process Manager.
