This position is a part time office job with up to 25 hours per week allotted. Monday – Friday only, no weekends necessary.
Flexible schedule options of either three full 8-hour days or choose to work 4-5 days a week for 5-6 hours per day, anytime between the hours of 7am-6pm.
Position can also work front desk shifts in addition to the Sales position if Full-Time is wanted.
Position Summary
The Sales Coordinator works under the direction of the Director of Sales and Sales Managers. Responsibilities include administrative duties such as answering calls, entering data and coordinating details in order to assist with the sale of guest rooms and meeting facilities.
Primary Responsibilities
Telephone and email contact with guests and clients who are planning meetings, events, or group room blocks with the Hotel
Enters group rooming lists and process group payments
Handle client requests as they arise
Conduct tours of the guest rooms and meeting space upon request
Assist with communication between the sales department and other hotel departments
Keyboarding, distributing, maintaining the organization of the sales files
Issue written correspondence, such as thank you letters after departure or welcome letters to incoming VIP’s
Maintain adequate stock of material needed for sales activities
Continually check work email; follow up as needed with any group or guest correspondence
Complies with all Company policies and procedures
Assists the Sales Team and General Manager with monthly reporting
Attends any necessary classes, offered by Hilton or otherwise, to continually improve skill set
Other duties as assigned by the Director of Sales or General Manager
Education/Experience
Minimum of 1 year Administrative experience
OnQ and OnQ-R&I Hotel experience preferred
Proficient verbal and written communication skills
Computer experience, Microsoft word, excel, proactive planning, anticipates situations, ability to follow directions
Physical Requirements
Sitting for long periods of time during shift
Use of keyboard and telephone throughout shift
