The Fundraising Data Specialist is a critical part of the Development Data team which includes the Senior Director of Development and the Development Database Assistant – this team supports the Development Team in all list management, reporting/ analytics, direct mail, and events to support the financial goals of PPSNE, Planned Parenthood Votes!

The Fundraising Data Specialist is responsible for, in partnership with Planned Parenthood Federation of America (PPFA), the oversight and hygiene of PPSNE’s portion of the development constituent database (currently Salesforce). This role will aid in the gift handling process: opening the mail, ensuring gifts are entered accurately, confirming and adjusting gifts for reconciliation, acknowledging the donors, reporting on gifts, and other tasks as needed.

They will also manage all imports and exports of large data sets, data manipulation once it is exported, and develop/maintain reporting mechanisms to strengthen the PPSNE, PPVotes!

This position has a critical role in working with various financial vendors and credit card processing companies (PPFA, Fidelity, GiveGab, Square, Paya, EveryAction) to ensure funds are directed according to donor intent.

They will also spearhead regional give days and the reoccurring gift program.

Essential Job Functions

Supports Development team and PPFA in most thorough and efficient use of the fundraising database (Salesforce) and seeks improvements to current systems with attention to accuracy and timeliness.

Serves as a key resource on the Development Data team responsible for the maintenance and strategic use of the fundraising database (Salesforce), including, but not limited to, maintaining current and new records with actions, relationships, gifts, campaigns, funds, and appeal information.

Works with Development Database Assistant to ensure complete accuracy throughout main responsibilities, from gift entry to acknowledgement. As needed, partners on completing gift entry and acknowledgement tasks.

Demonstrates technical knowledge and expertise in Salesforce software, including training other PPSNE Development staff as needed to ensure staff have the needed database skills to complete their job function.

Maintain working relationship with staff at PPFA and Salesforce regarding development systems and best practices and to ensure accurate gift entry and reporting. This includes attending training sessions, meetings, and working groups to represent PPSNE.

Monitors and improves the process for integrating data between various sources and database (such as EveryAction, DayCampaign, wire and stock transfers, etc.) into the Salesforce.

Minimize donor attrition and attract new sources of support through matching gifts, tribute gifts, local giving days, promotion of the monthly sustainer giving program, peer-to-peer fundraising, and other creative avenues to boost donations.

Support the development of the major gifts pipeline management through bulk task uploads and portfolio management.

Strategizes and manages the tactics used to achieve complete donor satisfaction through additional cultivation activities such as revised thank you emails, personalized notes, calls, etc.

Be the project lead for all fundraising mailings (snail mail and through EveryAction), working with the Senior Director of Development, establish a timeline and work with necessary staff members and vendors to ensure the mailing stays on schedule.

Creates and updates database policies and procedures to maximize database functionality and stay abreast of departmental needs.

Conducts regular fundraising analysis and reporting to support and grow all areas of department

Produces weekly, monthly and one-off reports to meet the needs of the Development team and to fulfill the affiliate reporting requirements.

Develops new reports to track departmental success, as needed.

Maximizes the effectiveness of the database by creating exports, reports and queries to ensure that all donor communications are targeted and help to increase donations to PPSNE, PPVotes! CT, PPVotes! RI and the PACs.

Supports relationship building within the Mid-Level Donor and Major Donor Programs by supporting Development staff with appropriate donor prospecting, donor preferences and Salesforce assistance.

Manages and completes all data imports and exports including annual database coding changes.

Oversees and upholds database coding structures to meet reporting demands and fiscal year goals.

·Supports the data management and fundraising of all Planned Parenthood entities (PPSNE, PPV!CT, PPV!RI, the PACs); including collecting appropriate donor information for regular reporting to state election commissions

Provide support to the Development team in the interest of expedited fundraising efforts and streamlined solicitation, stewardship and cultivation activities.

Attend and provide support of PPSNE and PPVotes! fundraising events – these events fall outside of the regular working hours and are regularly at nights.

Be a part of the rotating team of mail openers and PPSNE Development staff in the administrative office on a regular basis.

Execute all fundraising mailings, data acquisitions (mailing lists, etc.), telemarketing, newsletter, Annual Report, and other mailings for PPSNE, PPVotes! and PACs.

Plus other duties needed during high volume periods to advance the mission of the organization.

Supports the agency’s mission and all of the reproductive health services offered including family planning services, women’s health screenings, testing and treatment of STI’s, birth control methods and abortion services.

Education and Experience

Minimum 2 years’ experience using a donor database system (preferably Salesforce), or other customer relationships management (CRM) software required.

Experience with data analytics and reporting – preferably experience with Tableau.

Experience with importing and exporting datasets.

Proficiency with Microsoft Office, especially Excel and Word, and basic PC applications is required.

Excellent customer service or direct donor relations experience preferred.

Experience using Apsona, or similar report writing software, a strong plus.

Bachelor’s degree or equivalent experience preferred.
