Job Title: Purchasing and Inventory Coordinator
Position Summary: The Purchasing and Inventory Coordinator contributes to the business success of Dental Implants GPS by providing outstanding customer service and communication while ensuring the practices have the correct materials they need to function at the highest level. This role is responsible for keeping track of all inventory, ingoing and outgoing, within the company while staying on budget and placing orders.
The main duties will include ensuring inventory count is up-to-date, and ensuring that quantities of products, materials, supplies, and equipment are maintained at all times. This role will be responsible for planning, purchasing, tracking, and maintaining inventory levels. Ensure systems and programs are sufficient to meet the company’s inventory management needs for all products. Develop strategies and tactics for improving operation efficiencies, improving service levels, and setting and maintaining inventory levels as well as operation costs. The Home Office Location will be our Riverside Office located at - 6848 Magnolia Ave #100, Riverside, CA 92506
This position will require travel to maintain the inventory levels at all of our office locations including; Huntington Beach, Dana Point, Reseda, Riverside & West Covina.
Essential Functions and Duties:
Will report to the purchasing manager and partners with the lead dental assistant in each office
Compile order requests for clinic and dental supplies
Learn Sowingo or other inventory management software that we use, including all the fine points as adapted
Learn Airbase for appropriate invoice uploading and coding as needed
Places orders, generally once per week for each office
Tracks orders, alerts offices to eta, backorders, shortages
Finds alternative sources for backordered items as needed
Notifies purchasing manager of new vendors to set up accounts while striving to use vendors already set up
Finds resources for new items
Assists in training office staff in the use of Inventory management software
Assists in inventory counts
Trains center staff in reading packing slips
Liaison for departments with questions about supply product changes and resolve inventory issues
Perform clerical duties as required
Search and source potential suppliers and vendors
Track, measure, and analyze company expenditures
Make purchases based on prices, ongoing specials and promotions but staying within the budget for each individual office
Travel as needed to each location and check the inventory to record any excess of accumulating supplies and keep a log to make sure we order efficiently
Reviews current pricing versus pricing that is maintained in the inventory system
Requirements:
Excellent interpersonal, communication and organizational skills
Proficient computer skills including web-based order management systems
Dental experience or knowledge of dental terminology highly preferred
Ability to calculate figures and amounts such as proportions and percentages
Previous inventory coordination or purchasing experience required
Must be detail oriented
Must use correct grammar and have professional writing skills
Must have problem-solving skills
