We are seeking an experienced Proposal Coordinator to join a dynamic, inclusive, and human-centered business development team. Curiosity, humor, and a desire to learn and grow are essential for thriving in this position.

Key Responsibilities

As a Proposal Coordinator at Banyan, you will:

Provide administrative support to the business development team by coordinating meetings, taking notes, and actively participating in discussions.

Manage proposal deadlines, submissions, and win/loss records using Salesforce and Google Drive. Take responsibility for entering and updating data in Salesforce, ensuring completeness and accuracy. Regularly check data integrity and quality and address any issues found.

Support the team by coordinating and attending conferences and industry events.

Maintain positive working relationships with partners, both internal and external.

Collaborate closely with the colleagues to strategize, troubleshoot, and support a culture of open, thoughtful feedback and continuous improvement.

Work with the Proposal Manager to develop production schedules, compliance matrices, outlines, teaming agreements, budget assumptions, etc. Follow all proposal guidelines and procedures for creating outlines, building templates, preparing review drafts and final editions, scheduling meetings, and tracking the completion of assignments.

Help research, gather, and validate information for pursuits using federal procurement websites and database (e.g., SAM.gov, GovWin, FPDS, USA Spend).

Participate in assigned proposal/capture activities by providing support as requested.

Organize all files and documents related to pursuits, including RFQs, Q&A, proposal attachments, submission files, and more to ensure accurate and complete archives.

Assist in market research to assist technical staff in identifying and prioritizing clients and key pursuits.

Participate in all aspects of proposal preparation, including development and collection of materials such as project descriptions and resumes. Draft proposal content, with guidance from Proposal Writer. Edit and revise text according to feedback.

Efficiently manage multiple projects with tight deadlines, keeping a commitment to delivering exceptional quality deliverables.

Success in this role requires strategic cultivation of knowledge, skills, and best practices in federal contracting, competitive analysis, and proposal strategy across business development initiatives.

Skills, Knowledge and Expertise

Possess a working knowledge of federal procurement and contracting.

Are keenly attentive to detail and follow-through skills.

Required skill and experiences include:

Bachelor’s Degree in related field and 2+ years of experience as a proposal coordinator, or 5+ years of experience in a similar position.

Strong skills and attention to detail in writing and editing.

Experience with Apple OS or ability to quickly learn.

Experience with Salesforce or similar data management system.

Understanding of federal procurement and contracting landscape and processes. Preference will be given to candidates with experience with HHS clients.

Desired skills and experiences include:

Able to effectively prioritize and work independently.

Strong analytical skills, attention to detail, and excellent proofreading abilities.

Ability to synthesize information and present findings clearly in both writing and orally.

Ability to maintain a positive attitude under stress and ability to work with a diverse group of personalities.

Excellent organizational skills, writing skills, and oral communication skills.

Compensation:

The Expected salary for this role is $72,500 per year.
