Job Summary:

Getty Conservation Institute is seeking a Senior Project Coordinator to provide administrative and project management support for a variety of complex national and international projects in our .

This job will be based in our office at the Getty Center in Los Angeles. It will begin in the office full-time and the opportunity to request a telework schedule may be available after an initial period of training and orientation and will be discussed and approved by your supervisor. Typically, staff with approved telework schedules at the Getty Conservation Institute are in the office more than half of the time.

The is dedicated to finding ways to improve the conservation of the world’s cultural heritage—its art objects, museum collections, historic buildings, and archaeological sites. We are located at the Getty Center in Los Angeles, but our work extends across the globe including locations in Europe, Asia, and Latin America, where we work in partnership with heritage professionals from the region. Our staff come from diverse disciplines including, archaeology, conservation, information science, chemistry, engineering, operations management, administration, and communications.

Major Job Responsibilities:

As a Senior Project Coordinator, you will coordinate logistics and administrative activities for individuals and project teams who will be working in cultural heritage places worldwide. Your major job responsibilities will include:

Develop a comprehensive knowledge of Getty policies/procedures and apply that knowledge as you complete a wide range of complex project coordinator tasks; be a resource for others in your department who have questions about policies or need to resolve issues within policies.

Assist in the administration of contracts and procurement documentation, which may include drafting letters of invitation, and drafting scopes of service for agreements with vendors and outside institutions.

Interact with Getty's centralized contracting to provide and resolve issues.

Process invoices for payments with Getty's accounting department.

Make travel arranges for staff, as needed, including booking local and international flights and lodgings, arranging transportation, processing visas, and preparing expense reports in accordance with Getty policies/procedures.

Gather data related to project locations, as requested by project teams.

Order specialized equipment and supplies, arrange customs brokers and transport to project locations in other countries.

Help prepare budget materials, track and monitor expenditures, run budget reports, and identify variances.

Draft business correspondence to staff, consultants and international project partners.

Assist with planning and arrangements for international meetings, training courses, seminars, and conferences.

Make arrangements for international visitors to the Getty Center and schedule and coordinate meetings and events at the Getty Center.

Additionally, participation in professional development opportunities is encouraged and supported through on-the-job learning, specialized training courses, and participation in professional meetings and workshops.

Qualifications:

Bachelor’s degree.

Minimum 4-6 years of project coordination or related experience.

Knowledge, Skills and Abilities:

Excellent organizational skills and attention to detail

Ability to follow through with projects and assignments and meet deadlines

Experience coordinating complex international travel itineraries

Excellent communication skills, both written and verbal

Able to prioritize and balance workload between multiple demands and daily office operations

Must be proficient in Microsoft Office applications and database software. Familiarity with PeopleSoft and Concur is helpful

Self-motivated and able to anticipate emerging tasks and workflow

Good problem-solver and a creative thinker
