The Opportunity
The Accounting Specialist / Office Assistant will work collaboratively across various teams to support and promote business processes for a growing agency. The Accounting Specialist/Office Assistant understands accounting and bookkeeping fundamentals, is detail oriented, deadline driven, resourceful, analytical, and they bring a helpful and problem-solving approach to all they do.
As a member of the Method finance team, the Accounting Specialist / Office Assistant will improve processes, workflows, communications and overall efficiencies for accounting and reporting practices, they will also support all of Method’s hub offices. This role reports to the SVP of Finance.
Responsibilities
Accounts/Payable
Create all purchase orders for vendors as requested
Collect and process all vendor bills
Organize and maintain all vendor files, included but not limited to. maintaining vendor lists, terminating vendors in the system, updating contact info, etc.
Respond to all vendor inquiries
Initiate and complete third party payment processing arrangements
Compile 1099’s at year end
Accounts/Receivable
Manage new and retired client checklists
Process all invoicing for existing and new clients
Respond to client inquiries related to invoicing and PO management
Handle all collections of outstanding payments
Reconcile payments for all clients on a weekly basis
Manage QuickBooks or other database and client contract tracker for active and termed clients
Timekeeping
Manage reporting of timesheets and ClickTime or other submissions
Facilitate timesheet and ClickTime or other training
Run ClickTime or other reports for leadership team
Office Assistant/Support
Answer and/or flag emails correspondence s needed
Respond to/forward incoming voicemails to main phone line
Collaborate with office building management to address/resolve office related queries and service requests
Order supplies for offices
Provide support to staff with light tech support, ie. connectivity to devices, arranging for keycards with building management, etc
Handle all catering duties for local office
Oversee and monitor the office booking tool for multiple office locations
Oversee office vendor relationships, ie. tech/printer support, maintenance, etc
Maintain common areas of the local office (tidying conference rooms and kitchen areas as needed)
Provide support to the CEO with office and agency related requests and events as needed
Additional Responsibilities
Prepare credit card expense report
Assist in preparation of weekly reporting: A/R, cash balances, balance sheet reconciliations and P&L analysis with direction from the finance team
Maintain business files and recordkeeping systems
Assist in reviewing and approving employee expense reports
Including answering employee queries and they relate to company policy
Support finance team in monthly finance activity (journal entries, report generation, month end close, etc.)
Support employee onboarding and offboarding, including ordering new computers for hires, collecting all computers from employees
Assist in managing fixed assets for company
Daily bank update in Quickbooks
Assist with bank reconciliations
Process all outgoing wires
Manage and report on employee travel and office sustainability measures
Upon request, participate in the coordination of gift-giving for employees, clients, and/or friends of Method
What We’re Looking For
Bachelor’s degree in Accounting or Finance, or equivalent combination of education and business experience
1-2 years experience in accounting and support of administrative services (accounts payable/receivables, invoicing, IT support, catering, office support)
Interest in pursuing a finance career for an agency focused on technology brands
Familiarity with Google Drive and Google’s suite of tools (e.g., Slides, Docs, Sheets)
Proficient with Microsoft Word and Excel
Proficient in Quickbooks
Excellent time management, project management, organizational and communication skills
Ability to manage multiple projects and deadlines
Proven ability to work independently, also partner and collaborate to achieve great results
Salary Ranges
We believe all employees should be rewarded competitively and equitably, using practices that are simple and transparent. We’ve provided the following salary ranges for the locations we operate in below due to their state regulations. If your market is not listed below, your specific salary band will be discussed during the recruitment process. Final compensation for this role will be determined by a number of factors including candidate’s education, relevant work experience and geographic location.
San Francisco/Bay Area: $83,982 - $90,951
Work Arrangement
The role will be performed hybrid at our San Francisco office.
