Director of Residences

SUMMARY

The Director of Residences is responsible for the overall support and management of the day to day operations of the Residences. This includes but is not limited to owner communications, HOA board activities, financial management of the budget, owner services, property management and the general care of the residences, grounds and all aspects of the property. The function of this position must be in accordance with the management agreement and must fulfill all obligations set forth in the governing HOA documents. In addition, fluency in all aspects of the rental management program from legal terms/parameters, design standards and the ongoing servicing of residences in the program is essential.

ESSENTIAL FUNCTIONS

Operations

Upholds all Montage operational standards that align with the brand business strategy and execution

Works collaboratively to put sustainable work processes and systems in place to support the execution of the residential onsite operation

Serves as a liaison to Association shared services Directors (ie Housekeeping, engineering, security, human resources and accounting)

Manages facilities and all departments working within the building/campus, including physical plant with attention to protection of the investment and plans to increase its value through superior care.

Participation in all public space inspections with engineering and housekeeping; to ensure all commons areas and back of house areas are well maintained and preventative maintenance measures are established and implemented.

Educates all Montage associates on property about Montage Residences through regular communication and training

Champions onsite Montage Residences recognition program

Provides input and planning on an ongoing basis to address business needs and maintains operational service standards

Management of the Owner’s Lounge; forecasting F&B needs, hours of operation, maintaining overall appearance and deliver of service to owners

Owner Services

Ensures all privacy and security matters are fulfilled for the homeowner including following protocol for contractors on property and inside the residence.

Educates owners on services provided (ie basic and ala carte such as preventative maintenance)

Manages the onboarding of new owners and move-in process

Oversees content for the monthly Montage Residences newsletter: At Home

Coordinates all onsite outreach related to owner communications and special events

Develops relationships and recognizes preferences for each owner based on needs and desires of that owner

Implements the highest standards for all aspects of life safety, loss prevention, unit owner identity, and privacy protection

Maintains complete knowledge of and complies with all hotel and residence policies and procedures.

Assists with support of Design Review Board parameters and process

Maintains complete inventory of: Unit owners’ information, parking and storage spaces, monthly Association common dues, Owners’ monthly newsletter, resort features, services, and restaurant food concepts and information as well as other concierge related items

Services residential owner’s requests; pre-arrival, in-residence needs and assists with reservations at other Montage hotels in the portfolio

HOA

HOA Budget management; includes adhering to the budget as well as assists in the preparation of the annual budget

Oversees administrative functions of the HOA in accordance with the CC&R documents

Attends and facilitates HOA meetings

Guides the board on appropriate property management requirements and governance compliance

Manages Board of Directors and Members of the board; training and guidelines

Rental Management Program

Ability to present and comply with the terms of the Rental Management Program

Works in coordination with the hotel operations team as it relates to the inventory management and reporting related to the RMA program- responsible for Department P&L

Works in coordination with the onsite operations teams for the check-in, check-out process of RMA homes

Contributes to the review process related to RMA Design Guidelines and ensures that design standards are met

Financial

Oversees all financial accountability; house account billing, RMA billing and a la carte services

Reviews financial reporting and provides input in identifying budget variances and addresses accordingly

Implements invoice processing and approvals for all residential billing

Helps drive the annual budget process as a key deliverable ready to present to board and to gain approval. Delivers and presents annual budget to the HOA boards for approval.

Relationships

Key stakeholder relationships include: residential owners, HOA board of directors, development/hotel ownership groups, local government agencies, residential sales/marketing team

QUALIFICATIONS

College Degree

Property Management License/Certification preferred

Previous managerial experience with luxury residential or luxury hotel industry preferred

Previous experience as an owner and stakeholder liaison preferred

Proven financial acumen

Familiarization with rental management programs as it relates to SEC regulations preferred

Past experience managing a variety of outside vendors such as contractors and interior designers preferred

PHYSICAL REQUIREMENTS

Must be able to sit at a desk for at least 5 hours per day. Walking and standing are required the rest of the working day. Must be able to lift up to 15 lbs. occasionally. Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.

The pay scale* for Director of Residences is $140,000 to $149,000.

*The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position. Please let us know if you have any questions.
