Overview:
An Executive Assistant is responsible for managing the schedules and communications of key company executives. Their duties include prioritizing emails and phone calls, gathering documents to prepare for meetings, coordinating travel arrangements and much more.
The ideal candidate will be willing and able to work on-site at our Indianapolis location 3-4 days a week.
Responsibilities:
Essential Responsibilities
Perform daily administrative duties to support the Executive team
Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
Maintain comprehensive and accurate records, process and file expense reports
Organize meetings to include scheduling, sending reminders, arranging for travel, coordinating resources & materials, and organizing catering when necessary
Answer phone calls, emails and other communications in a polite and professional manner
Welcome visitors
Manage the executive(s) calendars, including making appointments and prioritizing the most sensitive matters
Scan, organize and/or file documents
Maintain inventory of office supplies in common areas and complete purchase requests
Act as back up to other administrative staff in office
Providing information, answer questions, and respond to requests from employees, clients and visitors
Support and participate in other company initiatives as directed by management
Perform other duties as assigned
Collaborate with other administrative/support staff and management on a regular basis

Skills:
Proficient with Microsoft office (Word, Excel, PowerPoint and Outlook)
Excellent telephone etiquette and communication skills
Excellent customer service skills, must be friendly and courteous
Professional appearance and can-do attitude
Attention to detail
Ability to use standard office equipment (PC, photocopier, fax)
Minimum Qualifications
3+ years relevant administrative experience supporting an executive level individual or team
Associate or Bachelor degree preferred but relevant experience in lieu of education will be considered.
*This position could be offered at different levels for candidates who qualify with a combination of advanced levels of education and/or years of experience. The salary range will adjust along with the level of the role to match the person’s relevant experience and/or education level.
