DESCRIPTION

As Account Coordinator at Color Art, you will have a great impact on our client experience and be involved in all aspects of our day-to-day operations. You will be the "right-hand" and the backup to the Account Manager and work closely with the Design, Project Management, and Accounting teams. Excellent customer communication, high attention to detail and meticulous follow-up will ensure your success in this client-facing role. This is a highly-visible position that greatly impacts both internal and external customers.

Essential Functions and Responsibilities:

Process orders daily, which includes checking coding and making sure all necessary documents has been received and the order has been released by necessary internal departments.

Assist sales and design during the quoting process with quote entry into the Hedberg system.

Work with project management to coordinate project schedules before orders are placed as well as if schedule changes need to be made after order placement.

Facilitate obtaining answers on any questions or clarifications from vendors.

Process all vendor acknowledgements by checking for any discrepancies between our purchase order and the acknowledgement and coordinate all necessary follow up on any issues identified.

Verify and approve all internal and external labor invoices in a timely fashion.

Research order related questions as needed from accounting during the invoicing process.

Review reports consistently and monitor status of orders.

Experience Desired:

High School Diploma or GED.

Customer Service Experience preferred.

Must be highly organized with a strong attention to detail.

Ability to prioritize and handle multiple tasks and projects concurrently.

Demonstrate good judgment in investigating facts and solving problems.

Able to effectively communicate with many different internal departments and outside vendors.

Proficient in Microsoft Office applications.

Ability to follow a structured sales process and apply best practices.
