JOB SUMMARY

Reporting to the Director, Payroll and Budget, the Payroll Specialist is responsible for processing payroll, maintaining time keeping records, reviewing payroll and payroll reports for accuracy. Ensures Marymount is in compliance with applicable federal and state regulations, as well as institutional policies. Acts as primary point of contact for payroll related matters, responding to customer service inquiries, tickets and walk-ins, exhibiting excellent communication skills and customer service.

Assists with the University’s accounting operations, systems, reporting and regulatory compliance. The Payroll Specialist will assist with the accurate, timely, and efficient production of periodic financial reports and the maintenance of a robust system of accounting records. The Specialist will perform all accounting functions in accordance with applicable institutional, federal and state regulations; and provide and foster an environment of mutual respect in a manner consistent with excellent customer service and stakeholder engagement.

The selected candidate will also assist with various projects, perform ad-hoc financial analyses, aid in internal and external audits, and troubleshoot department related issues. Performance of the duties requires excellent accounting, analytical, communication and reporting skills.

MAJOR DUTIES AND RESPONSIBILITIES

Acts as primary point of contact for payroll related inquiries and errors, to included engaging internal and external parties as applicable, providing appropriate research and communicating outcomes timely

Execution of appropriate testing of updates and fixes

Ensures accurate and timely payroll processing and accuracy of general ledger postings and reconciliations

Partners with internal stakeholder/clients and across HR to review cross-departmental impacts and reconcile data sharing

Owns relations with 3rd party vendors supporting the payroll function, driving for consistency and quality in service delivery

Trains employees and managers on use of the time keeping system.

Maintains confidentiality of information related to project pricing, employee compensation, acquisitions and all other financial information deemed to be sensitive or proprietary

Supports month-end and year-end close processes

Maintain knowledge of federal, state, and industry statutes, regulations, and standards for accounting, financial reporting, and other matters related to areas of responsibility

OTHER DUTIES AND ASSIGNMENTS

Verifies a variety of payroll related data to ensure accurate processing and distribution of funds and payroll; including but not limited to review of prepared timesheets, pay changes and detailed registers (such as taxes, deductions, and rates).

Processes bi-weekly payroll to include FMLA payroll adjustments, transmits ACH (Direct Deposit) and Positive Pay files, calculates, prepares and transmits federal and state tax deposit and calculates, prepares and transmits retirement files to Voya.

Performs a variety of payroll adjustments and reconciliations to include processing vacation/sick adjustments, preparation of journal entries, processing leave accruals and entitlement changes, and entry of reconciliations to general ledger accounts pertaining to Payroll.

Keeps current on all laws related to payroll.

Performs other duties as assigned.

3 years payroll and preferred higher education experience

Preferred Qualificiation

Workday experience a plus. Microsoft Excel (intermediate knowledge and experience). Ability to multitask and prioritize assignments in a fast-paced, deadline driven environment. Detail-oriented and accurate, and work in an organized manner. Ability to be flexible and adapt to changes.

Special Knowledge Proficiency with programs such as Word, Excel, Access, Power Point and

Adobe.
