As the Executive Assistant, you will play a pivotal role in providing high-level support to the Vice President of Global Quality Assurance.

Responsibilities include managing complex calendars, coordinating travel arrangements, and assisting with meeting preparation.

The ideal candidate will be proactive, possess exceptional communication skills, and thrive in a fast-paced environment.

This role involves providing confidential executive support, implementing administrative processes, acting as a communication bridge, analyzing data, supporting event planning, and offering general administrative assistance to the leadership team.

Additionally, the Executive Assistant will manage the VP's calendar, facilitate issue resolution, arrange travel, provide mentorship to junior staff, and foster positive internal and external relationships.

This role is a hybrid work position, with some work on-site and some work-from-home.

The potential home studio for this role is Irvine, CA.

What you bring to the table: * Provide confidential executive support to the Vice President and senior leadership, offering clerical and administrative assistance and following up with staff for information or support as needed.

* Assist in implementing administrative processes and requests directed by the leadership.

* Gather and analyze data on administrative matters, develop recommendations, and prepare reports and presentations.

* Support the planning and execution of department events and activities.

* Share established policies, procedures, and guidelines in response to inquiries.

Reach out to appropriate stakeholders for support and to make recommendations to support the employee experience.

* Provide administrative support to the leadership team, including scheduling meetings, maintaining calendars, drafting correspondence, creating spreadsheets and presentations, preparing expense reports, and managing files.

* Act as a bridge for communication between the VP and internal/cross-functional teams, maintaining credibility, trust, and support.

* Act as a liaison with internal departments as well as represent the department, its leadership team, and their needs with internal stakeholders.

* Work collaboratively and manage relationships with external vendors.

* Manage the VP's calendar, identifying critical items, setting up meetings, and making scheduling changes with minimal involvement from leadership.

* Facilitate the resolution of urgent/complex issues and escalate to the manager as needed.

* Coordinate complex international and domestic travel arrangements, including securing passports and visas.

Manage travel logistics, hotel accommodations, and meeting planning for the Vice President and other staff as needed.

* Provide guidance, support, and mentorship to junior administrative staff.

* Foster positive relationships with staff and management, both within and outside the company, and ensure efficient collaboration.

Minimum Requirements Experience * Minimum of 7 years of administrative support experience.

* Minimum of 4 years supporting senior executive-level leaders in a highly dynamic entertainment or technology environment or other high-touch, heavy-volume industry.

* Experience planning and coordinating events, such as team meetings, conferences, or company-wide events.

* Experience booking travel, lodging accommodations, and expense management.

Knowledge & Skills * High School diploma or equivalent required.

Bachelor's Degree in a related field preferred.

* Proven ability to provide confidentiality and discretion and act with excellent judgment.

* Strong organizational skills, detail orientation, and world-class prioritization and multi-tasking.

* Proficient in Microsoft Office Suite and other office productivity tools.

* Ability to work effectively in a global, cross-functional team environment.

* Demonstrable ability to own and handle multiple projects simultaneously and the ability to juggle multiple tasks and priorities simultaneously can be a valuable skill.

* Excellent written and verbal communication, planning, organization, and time management skills.
