About the Position Rare is seeking a highly organized and motivated Executive Assistant (EA) to provide comprehensive support to our President.

As a key member of the Executive Office team, you will play a vital role in ensuring the President's success by managing their schedule, travel, communications, and daily operations.

You will work closely with the Executive Assistant to the CEO and effectively coordinate and communicate with the Executive Office team.

Additional responsibilities include working collaboratively across all departments within Rare, to include the Executive Team and Leadership Team, and Rare Board of Directors, and with external stakeholders, such as foundations, government officials, partners, and donors.

What You'll Do: * Manage the President's complex calendar, prioritizing and coordinating meetings, events, travel, and conferences.

* Anticipate the President's needs and proactively prepare for meetings by gathering briefing materials and ensuring their timely availability.

* Manage all internal and external communications for the President, including email, phone calls, and correspondence.

This includes prioritizing emails, drafting responses, and interfacing with staff and external stakeholders.

* Oversee the development and distribution of donor/fundraising communication materials in collaboration with relevant departments.

* Act as a trusted liaison between the President and Rare executives, Board members, major donors/prospects, and external organizations.

* Maintain confidentiality and discretion while handling sensitive information.

* Foster strong working relationships with internal and external contacts worldwide.

* Proactively solve problems and demonstrate strong decision-making skills.

* Manage multiple tasks simultaneously with exceptional attention to detail and prioritize deadlines effectively.

* Maintain a professional, upbeat, and optimistic demeanor while thriving in a fast-paced environment.

What You Bring: * Minimum of 3-5 years of experience as an Executive Assistant or similar role supporting senior executives.

* Exceptional organizational and project management skills.

* Strong interpersonal, communication, and problem-solving abilities with a proven track record of handling sensitive situations discreetly.

* Demonstrated ability to build and manage relationships with diverse internal and external stakeholders.

* Proactive and resourceful approach to problem-solving with strong decision-making capabilities.

* Ability to thrive in a fast-paced environment, prioritizing deadlines and managing multiple tasks seamlessly.

* Proficiency in MS Word, Excel, PowerPoint, Outlook, Zoom, and DataBasics.

SalesForce knowledge a plus.

* Excellent written and verbal communication skills.

* Ability to travel periodically.
