Position Summary

The Associate / Senior Associate for Graduate and Advanced Education will be responsible for supporting the various affairs of the Office of Graduate and Advanced Education (OGAE), which promotes education beyond the undergraduate level at NYU Shanghai by overseeing the formation and management of programs offering master’s, professional, and doctoral degrees, plus other non-degree programs. At all times, he/she will need to be an effective advocate for graduate education within the NYU Shanghai community and embody the standard of excellence the university expects of its graduate initiatives.

This position will also primarily serve as an operational lead for the NYU Shanghai – NYU Stern MS programs. In this role, the Associate / Senior Associate will be one of the key people responsible for the greater advancement and development of the MS programs. He/she will be a main point of contact to students, administration, and faculty. The Associate / Senior Associate will also work in tandem with colleagues at NYU Stern on all aspects of program operation.

NYU Shanghai and NYU Stern currently offer 4 joint MS programs. The first two, in Data Analytics & Business Computing and in Quantitative Finance, were launched in Spring 2018, with the initial cohorts having graduated in 2020, 2021, 2022, and 2023. The second two, in Marketing & Retail Science and in Organization Management & Strategy, were launched in Summer 2021, with the initial cohort having graduated in 2023. The main responsibilities include:

Support the ongoing, day-to-day operation of the NYU Shanghai – NYU Stern MS programs and serve as a primary relationship manager with students, faculty, and administration, being responsive to the needs of such groups in all facets of work. Provide general support related to MS student advising and faculty teaching;

Serve and be responsive to issues of general concern that apply to all NYU Shanghai graduate programs. Make recommendations to program leadership. Act as a steward of the combined best interests and initiator of discussion for the matters that are critical to all graduate programs;

Contribute to the organization and planning of key OGAE programs, such as student orientations, graduation ceremonies, and social / community-building activities;

Coordinate student services through connecting students with resources, developing student handbooks and manuals, maintaining spaces on the NYU Shanghai campus, drafting communications, and working with student leadership;

Maintain data, with the utmost accuracy and precision, relating to student progress, registration status, visa and immigration status, and achievements, among others;

Assist with preparation of governmental reports and translation projects relating to the NYUSH-Stern MS programs;

Identify and implement programs to foster and promote intellectual and social community among the NYUSH-Stern MS student population;

Coordinate closely with other NYU Shanghai units, faculty, and NYU offices based in NY to ensure smooth operation of programs and to advocate for support. Facilitate synergies and partnerships with NYU Shanghai Student Life, Health & Wellness, Athletics & Fitness, Residential Life, Student Involvement, Career Development Center, and Registrar departments;

Track, analyze and forecast costs and expenditures related to student life, academic affairs, and programming;

Assist with admissions / recruitment / alumni initiatives for the MS programs, as appropriate;

Assist in communications-related projects for the MS programs which may include developing content/features to highlight program news, students, and faculty for Wechat and website publication, among other channels;

Work with vendors on ordering and mailing program souvenirs, certificate documents, and other office materials for student and program events;

Support faculty with reimbursements, travel-related affairs, Teaching Fellow assignments, and other academic activities;

Collaborate with different offices on assisting alumni affairs, such as the preparation of Hukou documents, coordination of events, managing communications, and other related activities;

Remain abreast of competitive marketplace trends and benchmark similar programs and activities. Represent the OGAE and build new connections. Uphold a constant attitude of seeking ways to advance, develop, and improve the OGAE;

Establish effective and efficient operational policies and procedures, along with standardized, repeatable systems. Coordinate information dissemination among students, faculty, and administration;

Be available for periodic assignments and projects that may pertain to all graduate programs;

Other related responsibilities as may from time to time be assigned. This position may also evolve in accordance with growth in the OGAE (such as with the introduction of new programs) and with the Associate / Senior Associate’s own creativity, initiative, and interests.

Qualifications

Required Education

Bachelor’s Degree required, graduate degree preferred;

Study abroad experience highly valued.

Required Experience

Prior experience in project management or program coordination in an English-language setting;

Prior experience in international education sector highly valued.

Required Knowledge, Skills, and Abilities

Native fluency in Chinese and proficiency in English required, with excellent speaking, writing, proofreading, and editing skills;

Working knowledge of web and social media tools highly valued;

Ability to travel occasionally as program operational needs require.
