Position Overview: Primary responsibility is daily, weekly and semi- monthly, monthly tasks of the areas detailed below. Schedule and dispatch alarm technicians and fire alarm inspectors to customer locations for installation, service, fire inspections, or emergency repairs. Duties may include using telephone or computer to transmit assignments and compiling reports on work progress. Mandatory overtime will be required as business needs dictate.
Key Duties & Responsibilities
Monitor personnel locations and utilization to coordinate service and schedules.
Schedule or dispatch workers to appropriate locations, according to customer requests, specifications, or needs, using radios or telephones
Creates daily/weekly/monthly service schedule for technicians, scheduling service calls in a manner that makes the most geographical sense
Establishes and maintains courteous and professional relationships with company staff
Establishes positive relationships with customers, both residential and commercial
Relay work orders, messages, or information to or from work crews, supervisors, or field inspectors, using telephones
Confer with customers or supervising personnel to address questions, problems, or requests for service or equipment
Prepare daily work and run schedules
Record and maintain files or records of customer requests, work or services performed, charges, expenses, inventory, or other dispatch information
Receive or prepare work orders
Determine types or amounts of equipment, vehicles, materials, or personnel required, according to work orders or specifications
Update and filing UL Certificates
Inspection and filing of all blueprint drawings required by cities
Processing city fire alarm permit applications and renewals
Creation and management of the Fire Inspector Schedule
Scheduling all fire inspections
Assisting customers over the phone with technical questions
Scheduling service calls over the phone with customers
Providing customer with service rates for service calls
Provide telephone support to our field technicians, downloading new customer signal data
Calling customers to confirm service appointments
Reviewing customer's accounts for problem signals
Assisting the sales department with scheduling hook-ups and disconnects
Exhibits professional behavior with all interactions, internal and external Presents All-Guard in a positive light at all times
Maintain open communication with management including training needs, morale and other basic employee issues
Meet all deadlines as assigned
Other assigned task by Manager/Supervisor
Qualifications
1+ years Alarm company experience, preferably in a Service Dispatch or other similar role.
Ability to function as an effective team member.
Ability to work under pressure and independently.
Ability to meet deadlines.
Ability to solve practical problems and carry out responsibility with minimum direction.
Ability to prioritize.
Computer Literacy Excel, Word and Outlook.
Must obtain an ACE (Alarm Company Employee) license.
Preferred Qualifications
3-5 years' experience in a Fire Inspection Coordinator role.
Knowledge of DICE and/or Sedona systems.
Knowledge of FireNSpect system.
