Theater Operations Manager

Location: San Rafael, CA (15 minutes North of the Golden Gate Bridge)

Status: Full-Time, Salary, Seasonal, Hybrid/Remote, onsite starting 9/23/24

Dates: 7/1/2024 through 10/18/2024

Smith Rafael Film Center in San Rafael, CA and Sequoia Cinema in Mill Valley, CA, and building the next generation of filmmakers and film lovers through CFI Education. About the Job:

The Theater Operations Manager coordinates all theater venue needs during MVFF. The position is responsible for hiring, scheduling, and managing all theater venue staff (~25 people); providing the data (via balloting) for the MVFF Audience Award; and assists Festival Operations staff with basic operational needs. Reports to Festival Operations Manager and works within the Operations Department. Supported by a Theater Operations Coordinator and an Assistant.

Your Responsibilities:

Help to write the Theater Ops training manual with the Festival Operations Manager.

Develop and lead training for all festival theater staff on festival policies and procedures.

Develop and present a Theater Ops 101 for all organizational departments, including programming, development, and others.

Work with Development Department to fulfill sponsor and donor needs

Have weekly check ins with Theater Operations Coordinator and assistant to check on workload, deadlines, communication flow and overall group needs/experience

Communicate openly & frequently with the Operations Manager on work progress.

Create detailed schedules for all theater staff at all festival theater venues.

Schedule backup and "on call" theater staff as well as coverage for theater management shifts and event coordination as needed.

Supply theater staff with all necessary equipment and paperwork daily, including but not limited to posters, screening schedules, clipboards, flashlights, ballots, pencils, iPads/laptops and/or other technology.

Schedule and facilitate food and beverages for theater staff on shift.

Oversee and manage the Audience Award balloting process and provide results to the marketing department on deadline.

Create and manage a detailed schedule for theater operations volunteers, present to the Volunteer Manager, and communicate how it's working along the way.

Attend volunteer orientation, present an overview of MVFF theater operations, and assist with training volunteers.

Order and secure all theater and venue supplies, including but not limited to signage, stanchions, flashlights, clipboards, binders and easels.

Organize & distribute tech sheets, including data entry, updates, printing and binder organization.

Work with all departments (including Tech, Programming, & Development) to determine and fulfill operational needs at each venue, convey needs to venue staff.

Assist Tech Director with theater marquees throughout the Festival

Manage work and hours to end work at a reasonable time each day/night.

Submit a detailed wrap report to the operations manager and participate in post-festival wrap meetings.

Other duties as assigned by the Festival Operations Manager.

Must have own transportation, own smart-phone, able to work nights and weekends as necessary, and work through Labor Day weekend if needed.
