Position Summary:

Ogletree Deakins has the opportunity for a temporary eBilling Matter Information Analyst to join the Firm’s expanding Financial Operations Department. The position is responsible for managing the setup of specialized eBilling matters and resolving complex scenarios. This role is responsible for ensuring a smooth start-up for electronic billing for new clients/matters with a focus on timekeeper submissions to electronic websites. The assignment is projected to end around the end of December, 2024. This position may be remote, but the successful candidate must reside in a state where the firm has a physical office.

Essential Functions:

Complete new matter and client set-up from start to finish in Aderant billing system and electronic billing websites.

Submit timekeepers for approval and rate acceptance in the clients electronic websites.

Complete follow up action items to ensure set up is completed before billing activities.

Update and keep organized smartsheets.

Analyze and problem-solve complex ebilling scenarios.

Liaise with FINOPS departments, clients and attorneys to ensure client matters are set-up accurately.

Review billing guidelines and engagement letters, work with members of the Matter Information (rates) team to ensure that rates in the Aderant database align with the eVendor’s system.

Lead implementation of electronic billing for clients who formerly used paper or emailed invoicing and provide transition plan for clients changing ebilling platforms.

Formatting clients and client matters to the appropriate delivery method, along with adding or updating client notes.

Act as a backup for Matter Information Analyst team members.

Assist attorneys and staff with access and navigation of ebilling vendors.

Map new or existing clients in BillBlast to ensure compliance with specified billing requirements.

Special projects and additional duties as assigned.

Ensure new matters are set-up on client’s ebilling site prior to Finalizing new matter.

Conduct and assist with Alternate Rate Review for new yearly rates for ebilling clients by submitting new yearly rates to clients.

Requirements:

5+ years of relevant experience, preferably within a global law firm or professional services environment.

Bachelor’s degree in related discipline or combination of equivalent education and work experience.

Thorough understanding of multiple electronic billing vendors, websites and formats.

Strong aptitude for conflict and issue resolution.

Ability to analyze and problem-solve complex ebilling scenarios without additional escalation.

Thorough knowledge of AFA’s.

Excellent project management skills.

Ability to assess procedures and proactively recommend improvements to existing processes.

Proactively develop and maintain positive professional relationships with attorneys, clients and Accounting team members.

Solid working knowledge of rates and billing functions, and excellent mathematical aptitude.

Superior verbal and written skills.

Excellent organizational skills.

Strong attention to detail.

Ability to prioritize and meet aggressive deadlines.

Commitment to perform job responsibilities with high professional and ethical standards.

Ability to work and lead within a team environment.

Multi-currency experience is a plus.

Overtime may be required for business needs

Benefits:

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $68,700 and $105,400. In accordance with New York City’s Wage Transparency Law, the expected salary range for this New York City position is between $69,800 and $109,900. In accordance with California’s amended labor code as stated in Senate Bill 1162, the expected salary range for this California position is between $64,300 and $127,700. In accordance with the Washington Equal Pay and Opportunities act, the expected salary range for this Washington position is between $71,300 and $109,400. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. The application deadline for this position is June 19, 2024.
