Responsibilities

What will you contribute

This role reports into the Company Secretary Lead and supports the Company Secretarial Team. The role covers a wide range of administrative tasks from supporting the team to stay on track with statutory compliance, liaising with internal and external key stakeholders, having responsibility for processing invoices and updating various systems.

Responsibilities & Deliverables:

Day to day management of the Group statutory records of all subsidiary companies worldwide including the UK (115 entities across 45 countries).

Ensure the administration for the statutory and regulatory compliance for the Group's UK and overseas subsidiaries are maintained by:

providing administrative assistance with the accounts signing and filing process globally;

liaising with providers and internal stakeholders for the filing of overseas subsidiary annual returns and accounts;

maintaining the subsidiary compliance tracker.

Providing administrative assistance to ad hoc projects, such as name changes, director changes, change of year end, registered office and auditors

Providing administrative assistance to entity rationalisation projects (mergers, liquidations etc) and liaising with external and internal stakeholders where necessary.

Support all other function lines finance (e.g. obtain signatures on accounts), treasury (e.g. complete banking forms and provide KYC information), tax (e.g. provide company information), facilities (e.g. distribute company correspondence).

Liaising with providers worldwide to update all corporate changes in the relevant systems (Diligent, Salesforce etc.). The key is to ensure that all company information is up-to-date, and

Assist with vendor relationships across all company secretarial providers and ensure expenditure is aligned to the function Processing all invoices and raising requisitions where required and communicating with third parties, where necessary.

Provide administrative assistance for notarisations and legalisations

Required Experience

Must have 1-2 years company secretarial experience.

Prior experience in a busy team, private practice or in-house, would be an advantage.

Ability to work in a very fast-moving

Experience of maintenance of updating databases, preferably Diligent but not essential (or a similar database).

Work closely to deadlines.
