POSITION DESCRIPTION

The National Park Foundation (NPF) is seeking a Senior Coordinator for our External Affairs team. This is a fantastic opportunity to play a key role supporting leadership, operations and projects for the External Affairs division within a highly regarded national non-profit. This position will work collaboratively with all departments across External Affairs and the organization to support and facilitate divisional goals and priorities. The Senior Coordinator will provide divisional support including calendar management for senior executive(s), operations support including meeting planning, invoice processing and tracking and expense report preparation, travel planning, research projects, and presentation (deck) preparation. This full-time position reports to the Chief of External Affairs and is based in Washington, DC.

RESPONSIBILITIES AND DUTIES

Serve as the first point of contact for the Chief External Affairs Officer with all internal and external constituencies.

Track divisional workflow and priorities; helping to anticipate and act upon future needs and requirements and enhance the efficiency and effectiveness of the division.

Serve as a communications bridge and facilitator across all teams and direct reports, ensuring timely and accurate dissemination of essential information across External Affairs.

Coordinate meetings with various internal and external stakeholders, reserving meeting space, distributing agendas, preparing meeting agendas and materials, take and prepare meeting minutes, as necessary.

Provide administrative support to the Chief External Affairs Officer and leadership team including coordinating travel, preparing and processing expense reports, contracts, and invoices.

Assist in preparing monthly corporate card expense reports.

Basic tracking and reconciliation of department budget.

Manage schedule and daily calendar for Chief External Affairs Officer, communicating regularly, ensuring schedule reflects the priorities of leadership.

Build strong, collaborative, and positive relationships with peers across the organization and within External Affairs.

Prepare high quality, visually appealing presentations for use by the Chief External Affairs Officer and other division leadership team members.

Assist with high-profile organizational events led by External Affairs.

ESSENTIAL EXPERIENCE, SKILLS AND COMPETENCIES

The ideal candidate should have the following:

1-3 years of demonstrated success in an administrative, dynamic, creative role.

Excellent administrative skills with superior attention to detail.

Tech savvy with a high proficiency in MS Office 365, including Outlook, Word, Excel, PowerPoint, and SharePoint is a must.

Familiarity with financial software such as Concur preferred.

Excellent organizational skills with ability to keep track of multiple, fast-moving tasks.

Excellent verbal communication and writing skills.

Proven judgement and problem-solving abilities in a fast-paced environment.

Demonstrated ability to think critically and independently.

A bachelor's degree or equivalent experience.

A can-do attitude and serve as a positive team player with good relationship-building skills.

Strict adherence to ethical and confidentiality guidelines.

The National Park Foundation offers a competitive salary and benefits program. Salary range for this opportunity is $60K- $81K and commensurate with the level of experience of the candidate. Based in DC at NPF’s newly designed headquarters, this position will also have access to an onsite fitness facility, exciting downtown Washington, DC community and a variety of metro stations.
