A nonprofit organization in New York City is currently seeking an experienced Administrative professional to join their staff as their new Executive Assistant. In this role, the Executive Assistant will be responsible for managing the day-to-day operations of the CDO and CFO, including handling urgent requests directly from the CEO and other senior leaders as necessary.
About the Opportunity:
Schedule: Monday to Friday
Hours: 8am to 6pm
Setting: Hybrid (flexibility for one day remote, not Mondays)
Responsibilities
The Executive Assistant will:
Manage CDO and CFO calendars; optimize team calendars and establish standard processes for how teams leverage them
Process invoices from different vendors, reimbursements and other general expense submissions
Manage on-boarding process for new hires; coordinate time-off and timecard reporting to HR
Create meeting agendas and prepare presentation of materials for internal meetings
Maintain and order team supplies
Maintain contact lists for Boards, Fund Managers, and leadership groups; assist with email, phone messages and responses
Enter donor data and contact reports for CDO into Raiser's Edge
Lead modernization of Finance records-keeping and document management process with support of Finance leadership
Draft emails and other forms of communication on behalf of the CDO and CFO
Manage electronic and paper filing systems and maintains accurate records
Perform other duties, as needed
Qualifications:
8+ years of of experience in a Corporate and/or Nonprofit or corporate setting
High School Diploma / GED
Working knowledge of Raiser's Edge, or similar database
Microsoft Office proficient
Proven skills in Project Management
Solid problem solving and time management skills
Exceptional phone etiquette
Great interpersonal skills
Excellent communication skills (written and verbal)
Strong attention to detail
Highly organized
