Job Summary
The Executive Assistant performs secretarial and administrative duties in support of Department Executive. Responsible for managing phones, mail, scheduling, filing and general office management.

Screens and directs incoming calls or visitors to the appropriate individual or department
Answers questions/inquiries as needed. Researches and follows up on inquiries that require more in-depth information.
Assists the Department Executive with scheduling appointments and maintains updates/changes calendar as needed
Performs varies clerical tasks utilizing knowledge of office systems and procedures. Types letters, correspondences, reports and presentations as needed
Posts department schedules for non-exempt employees
Communicates both among the organization and to the community to successfully complete administrative needs as requested
Opens routes and/or answers routine correspondences. Processes billing invoices and maintains accurate records as necessary.
Maintains office, provides day-to-day administration through phone, written and face-to-face contract with all those needed assistance from Department Executive's office
Maintains an efficient and organized filing system, including contracts lists, and any other pertinent information to the department director
Employee must perform all duties and responsibilities in accordance with the C-I-CARE Standards of the Hospital.
QUALIFICATIONS/Education:
High school diploma or equivalent (GED) Experience Three to five years previous experience within a secretarial or admin assistant position Proficient in Microsoft Office, excel, word, etc.; Keyboard skills of 60 wpm Transcription skills Good organization, verbal and written communication skills Good customer service, organizational, grammar/spelling, ability to follow verbal instructions; read and comprehend written instruction.
Normal working hours are Monday - Friday 8a-5pm - must be able to work extra hours for events.
