Position Overview
We seek an Executive Assistant to support the Chief Legal Officer, Chief Human Resource Officer, and Chief Global Operations Officer. This role will coordinate and manage executive scheduling, prepare and organize legal and strategic materials, support board meetings, and prepare board materials. This role serves these executives by connecting organizations, projects, and critical business information, enabling meetings and materials are efficient and effective. This position will involve working with sensitive and confidential information and thus requires a high degree of discretion and trust.
This role's dynamic nature requires the ideal candidate to have exemplary time management skills and the ability to identify and anticipate the executives' needs. The position must interact seamlessly and professionally with various individuals, including members of the Senior Leadership Team, the Board of Directors, and leaders that report to these executives. This position will be based at our Charlotte, NC headquarters.
Responsibilities
Coordinate calendar and scheduling for assigned executives and schedule various meetings as required.
Determines priority matters of attention for the executives and keeps them advised of time-sensitive issues, enabling appropriate follow-up.
Complete various special projects, including creating PowerPoint presentations, spreadsheets, special reports, and agenda material.
Embrace and leverage technology to drive efficiency and effectiveness
Conduct miscellaneous analysis and reporting.
Coordinate travel arrangements for executives.
Produce expense reports and process invoices as necessary.
Assist with onboarding new employees.
Assist with special projects, reports, and activities.
Perform other miscellaneous duties as assigned by the executives.
Qualifications
Bachelor's degree or equivalent experience
Minimum five years’ experience in similar roles
Previous executive administrative or related experience is required
Strong working knowledge of and proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Excellent communication and interpersonal skills
Organization and Planning - orchestrate and handle multiple activities contemporaneously to accomplish a goal; anticipates and adjusts for problems and roadblocks.
