POSITION OVERVIEW

In person position - part time (5 days, 25 hours/week) in the East Brunswick, NJ office

PRINCIPAL DUTIES AND RESPONSIBILITIES

Act as main point of contact for facility and security related matters

Greet, announce, and direct incoming visitors; maintain a clean and professional workspace with coverage during office hours, obtaining back-up when required

Reserve appropriate space for NY/Guest employees working in our location as needed

Manage Office Services mailbox assuring responses are made on a timely basis and necessary communications are sent to employees

Act as point of contact for facility issues and utilize building website to resolve with building management or outside vendors as needed

Phone system administrator: includes troubleshooting and resolving any technical problems, phone/office moves, new hires, updates & passcode resets; Maintain & update internal telephone directory.

New Hires:

Partner with Tower Center Management to create and activate security badges and parking passes. Set up phone and voicemail. Create nameplate for office/cubicle. Update floor plan and phone directory. Maintain accurate listing of security access

Terminations:

Collect badges and parking passes from HR and deactivate terminated employees. Return badge and parking pass to Tower Center Management. Update floor plan and phone directory. Maintain accurate listing of security access.

Receive & sort incoming mail, interoffice mail, and other packages; prepare outgoing mail; Manage UPS account

Organize and maintain cafeteria and office supplies placing regular replenishment orders to maintain adequate supply; Nightly organize and restocking of cafeteria

Troubleshoot and maintain printers and copy machines, perform minor maintenance and/or coordinate service calls with vendor as needed.

Create content and update lobby display weekly or for special events

Receive, code, and submit incoming invoices for office supplies, cafeteria supplies, interoffice courier, and other facility related expenses

Manage Iron Mountain account and liaison between staff and Iron Mountain to coordinate pickups & retrievals

Print daily employee listing from security system as part of emergency evacuation procedure

Provide as needed assistance to Distribution Center and Human Resources

Conduct all other job-related activities.
