Ace Carpentry, Inc., a prominent residential and commercial framing company located in Manassas, VA, is actively seeking a diligent Document Coordinator to join our team. Responsibilities:
· Manage document organization and retrieval systems to ensure seamless access to necessary paperwork.
· Identify and communicate lessons learned to enhance the workflow efficiency and effectiveness of document management.
· Maintain electronic files and oversee the downloading of project documents from various file-sharing platforms.
· Coordinate the timely sharing of files with relevant vendors and stakeholders.
· Log, track, and follow up on all project documents, including RFIs, submittals, subcontractor change orders, etc.
· Generate essential documents such as warranty letters and safety manuals to support project operations.
· Provide administrative support as needed.
Qualifications:
· Prior experience in document coordination or related field preferred.
· Strong organizational skills with a keen eye for detail.
· Proficiency in managing electronic files and utilizing file-sharing platforms.
· Excellent communication skills, both written and verbal.
· Ability to thrive in a fast-paced environment and prioritize tasks effectively.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, SharePoint) and other relevant software applications.
· Bilingual – English & Spanish preferred.
· Positive attitude and open mind with a willingness to learn.
