ADMINISTRATIVE ASST./CONSTRUCTION ADMIN.

Full-Time On-site

Harrisburg, PA

SN is proud to support Murray Associates Architects (MAA) in their search for a professional Administrative Assistant to join their architecture firm. In this role, you will assist the MAA team to continue their success in design, technical achievement, and client satisfaction applying your exceptional administrative skills and construction administrator support knowledge to help internal team and clients successfully complete projects.

JOB SUMMARY:

Duties/ Responsibilities:

Administrative Assistant Focus

Preparation of correspondence for the Principal and any other general typing and office responsibilities.

Coordinating schedules, arranging meetings, preparing correspondence, organizing, and maintaining files and records for the Principal.

Take detailed and accurate minutes for multiple weekly client meetings and complete other documents related to current projects.

Ensure clarity, accuracy and professionalism in notetaking using proper grammar and complete sentences.

Collect, prepare, and distribute information for use in discussions and meetings.

Communicating with clients on the phone, through email or in-person and managing their requests in coordination with the owner

Operating the phone system and copy equipment, scanners, printers etc.

Provide back-up for the other administrative staff to cover all telephone calls, open and distribute daily mail, and any other miscellaneous/general duties.

Additional duties as needed.

Construction Administrator Focus

Process, track and return all Shop Drawings submittals and Request for Information (RFIs) in the bidding and construction administration process for all projects.

Responsible for the review of specifications for new projects in the development stage: product research, proofreading and distribution of the document.

Track and distribute Change Bulletins for all projects in the construction phase.

Project filing including initial set up and maintenance.

Job Qualifications:

Associate degree in Business Administration with 2 years of applicable experience preferred.

High-level multitasking skills to simultaneously manage multiple projects at various stages and complete administrative duties.

Detailed Oriented

Ensures the confidentiality and security of businesss projects and files.

Works well in a team environment

Proficient in Windows 11 and all Microsoft products such as Word, InfoPath and Excel.

Training to be provided on Newforma, eSpec and CORE.

Pay Range:

Salary $35-40k DOE
