Description:

Clinical secretary in the outpatient physician office with primary responsibilities for supporting multiple physicians in the Magee Physician Pratice.

Interacts with co-workers, visitors, and other staff consistent with the iSCORE values of Jefferson.

Processing heavy volume of paperwork and billing for physicians in the outpatient physician office

Create and distribute daily billing override reports for physicians using CPSI and Excel

Create and distribute patient care conference lists

Processing of all medical record requests for the physicians

Create and distribute weekly immunization report

Answers all emails and phone calls. Prives phone coverage for the physicians

Distribute documentation to appropriate physicians, collect once completed/signed and distribute to appropriate hospital entities

Maintains each physician's credentialing files

Maintenance of Physician Licensures, Certifications, ACLS and CPR certifications

Keep physicians' CVs up to date

Manage physicians' calendars on Outlook

Coordinate meetings for physicians

Monitor physicians' emails- make sure physicians' answer time-sensitive emails and phone calls

Make sure physicians sign H&Ps and POCs in a timely fashion

Assist in getting documentation signed for case managers, PT/OT/SLP, nursing etc. by physicians

Update patient progress notes according to physicians, PT/OT/SLP and nursing requests

Submit requests for reimbursements for physicians

Open and distribute all mail for physicians

Maintain and update physician-resident calendar and communicate days off and coverage to appropriate physicians and the Outpatient Clinic staff in the Gaspar Center

Complete and send DOT letters per physicians' orders

Complete and submit Part A binder work for physicians

Assist in proofreading and uploading letters of recommendation for residents/students

Assist in proofreading letters of accommodation and other documentations for patients

Assist with resident program and visiting medical students- meal cards, meetings, sending out memos of rotation schedules

Bank deposits

Coordinates with the Outpatient Clinic located in the Gaspar Center by going there in person daily in the morning and end of day to pick up and deliver all correspondence, paperwork requiring signature, and any other patient care needs.

Mail out documentation to patients for regarding outpatient test results

Communicate effectively with peers

Communicate effectively with Chief Medical Officer regarding performance

Integrate feedback and changes behavior accordingly, in a timely manner

Coordinates with other staff to ensure adequate physician coverage

Adheres to policies, procedures, and clinical environment standards

Adheres to all CONFIDENTIALITY policies

Effectively adapts to new and changing work conditions and situations

Performs additional duties, responsibilities and support functions and other duties as assigned

Qualifications

High school diploma or equivalent required.

Associate degree or diploma in Medical Secretarial Studies preferred

Typing minimum of 70 wpm; medical terminology needed.

Three years' experience, with at least 2 years in a hospital or physician's office setting.

Conditions of Employment
