Job Summary: The HCAC Service Coordinator plays a pivotal role in ensuring the smooth and efficient operation of the air conditioning (AC) service department.

This position involves coordinating service requests, scheduling appointments, and maintaining communication with customers to ensure satisfaction with the service provided.

The AC Service Coordinator acts as the primary point of contact between customers and the service team, handling inquiries, resolving issues, and ensuring that all service requests are promptly addressed.

Supervisory Responsibilities: * None Duties/Responsibilities: * Receive and process service and warranty requests from customers and builders via phone, email, or other communication channels.

* Schedule service and warranty appointments for AC maintenance and repairs, based on customer availability and service team capacity.

* Maintain accurate records of service and warranty requests, appointments, and technician assignments.

* Provide knowledgeable assistance and guidance to customers on AC system troubleshooting, maintenance, and repair options.

* Escalate complex or unresolved customer issues to appropriate personnel for further assistance and resolution.

* Stay updated on industry trends, product knowledge, and company policies to provide accurate and timely assistance to customers.

* Assistance in creating new workorder requests for our builders and assuring any POs are received prior to scheduling.

* Outbound scheduling for warranty and maintenance.

Required Skills/Abilities: * Proven experience in a customer service or administrative role, preferably in the HVAC industry.

* Excellent communication skills, both verbal and written, with the ability to interact professionally with customers and team members.

* Strong organizational and multitasking abilities, with the capacity to prioritize tasks in a fast-paced environment.

* Proficiency in computer applications, including scheduling software, email, and Microsoft Office suite.

* Detail-oriented with a focus on accuracy in record-keeping and documentation.

* Ability to remain calm and composed under pressure, with a customer-centric approach to problem-solving.

* Familiarity with HVAC systems and terminology is desirable but not required.

Education/Experience: * High school diploma or equivalent; additional education or certification in HVAC or related field is a plus.

* Proven experience in a customer service or administrative role, preferably in the HVAC industry.

Physical Requirements: * Must be able to lift up to 15 LBS at a time.

* Extended period sitting at a desk using a computer.
