We are excited to offer an immediate opportunity for a Legal Assistant in our Supplier Services (SS) department, based in our Richmond, Virginia office. This position is classified as exempt under the FLSA (which means that the successful candidate will not earn overtime for any hours worked in excess of 40 hours in a given work week). In addition to a base salary, this position offers the potential to earn additional incentives through a structured performance bonus program.

What You'll Do:

·Provide essential support to Network Attorneys nationwide in processing daily document and affidavit requests crucial to each state's legal collection processes.

·Retrieve critical documents from Network Attorneys to facilitate client audits and ensure compliance with TRAKAmerica's high work standards.

Essential Functions & Responsibilities:

Responsible for coordinating all affidavit template approvals, maintaining a detailed tracker, and driving resolution through scheduled follow up.

Review Affidavit templates for common errors or product misunderstandings and communicate changes needed to network attorneys.

Provide status updates to stakeholders and escalate unresponsiveness to performance management team.

Prepare affidavit templates for mail merge automation.

Oversee shared inbox where template modification and information requests are sent and maintain 48-hour response time.

Draft and administer surveys to network attorneys, quality check responses and compile and summarize results.

Assist with drafting network communications.

Update or create procedure documents as needed.

Manage relationships with our networks firms and clients

Support the Director/VP of Supplier Services as needed, including projects, tasks related to onboarding new clients, or follow up of known issues.

Job Competencies:

Familiarity with legal terminology

Excellent communication and interpersonal skills

2 years’ experience working with mail merge/form templates.

Knowledge of SQL and basic query functions.

Integrated problem solving and resolution.

Proficient in Microsoft Excel, including the analysis of pivot tables.

Critical thinking and analysis

Attention to detail

Works autonomously

Time Management Skills

Ability to organize, manage time effectively, set priorities and meet deadlines.

Ability to learn and adapt to change

Qualifications Required:

An associate's or bachelor's degree in legal studies or a related field, or a minimum of three years' proven experience as a legal assistant or paralegal

A minimum of two years of experience in process or project management, showcasing skills in organizing, coordinating, and leading projects effectively

Other Preferred Skills/Experience:

Document Management Experience

Knowledge of Debt Collection Law

Previous experience in Bank Card, or the Debt Purchasing Industry

Six Sigma process certification

Data and Process analysis
